Accounts Payable/Receivable Clerk

Purpose of position:Responsible for preparing and processing documents for accounts payable and accounts receivable. Gathers, sorts, and files accounting documents and related information. Pays invoices by verifying transaction information; scheduling and preparing disbursements; and obtaining authorization of payment.

Essential Functions: (must be able to perform these functions, with or without a reasonable accommodation).

• Match invoices against purchase orders, research discrepancies, and retain approval
• Ability to process a high volume of vendor invoices
• Ensures all vendor invoices are entered correctly and timely
• Prepare and process vendor check runs and on-demand check requests
• Generates age analysis and reconciles vendor statements
• Respond to vendor inquiries in a timely manner and resolve account discrepancies.
• Processes Monthly Expense Reports timely while verifying accurate general ledger codes
• Accrue, track and report RMA’s
• Assists with financial audits
• Verifies and posts details of business transactions, such as funds received and disbursed
• Marks or labels inventory goods as required
• Researches and resolves invoice discrepancies and issues
• Process customer billing timely, ensuring accuracy based on sales estimates and shipping of the product
• Maintains accounts payable and accounts receivable files and records
• Assists with month-end procedures
• Gathers information and prepares yearly 1099’s
• Processes Sales and Use Tax by 20th of each month.
• Protect the organization by keeping financial information confidential
• Attends all safety and health training, as required, in a timely manner
• Works when scheduled and complies with company attendance policy
• Works overtime as required.
• Observes and practices all safety procedures and personal policies (e.g. safety glasses, ear plugs, face shields etc.)

• Must be able to comply with OSHA requirements and standards to properly wear all applicable PPE
• Must be able to lift and carry up to 25 lbs. or more with assistance occasionally
• Must be able to see within the normal range of vision with or without corrective lenses
• Must be able to hear running machinery
• Must have exceptional eye-hand coordination
• Must regularly be able to reach overhead
• Must regularly be able to squat, bend, twist, and stand
• Must be able to walk around regularly using steps occasionally
• Ability to provide verifications of US citizenship or permanent residency to satisfy ITAR/EAR restrictions

Experience and Education Requirements:

A High School Diploma or GED is required; some college-level classes are preferred. 1-3 years of accounts payable or general accounting experience required. Must pass a criminal background check and pre-employment drug screen.
