The Role:
Perform the daily operations of the Accounts Payable and Procurement processes ensuring timely, accurate and proper workflow of processes and procedures are followed. Ensure timely processing of orders and payments of invoices, and month-end reconciliations. Assist with audit work on a continual basis as needed. Incorporate EA polices and accounting principles, practices, and procedures in daily workflow to ensure accurate and timely payments, processing of orders, coding and financial statements.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Job Area/Function:
- Ensure timely, efficient and accurate disbursement workflow
- Daily purchasing, processing of check requests, petty cash and AMEX reconciliations
- Assist in the execution of month-end AP closing functions.
- Excellent customer service relations both internally & externally, including timely disbursements of check requests, processing of orders, expense reimbursements
- Interface with department heads and managers to ensure compliance, understanding and adherence with company policies and procedures
- Research and resolve vendor issues or discrepancies as necessary
- Ensure purchases of goods and services are made according to agency purchasing, budgetary and other administrative policies
- Support Management with AP special projects as required
Audit/Tax:
- Assist Management as required with audit deliverables to ensure a clean and timely year-end audit
- Coordinate with accountants to ensure expenses are accurately accrued, recorded and coded in the GL
- Assist with timely e-filing of year-end 1099s
Other:
- Maintain up-to-date knowledge on agency’s funding sources, grants and contracts
- Perform special projects and other related duties as assigned
- Maintain relationships with vendors as needed
JOB REQUIREMENTS
Required Knowledge
- Bachelor's degree in accounting required
- 1-2 years’ experience working as an AP Specialist
- Analytical and problem solving skills
- Ability to work in a fast-paced environment autonomously
- Self-motivated, detail oriented, extremely organized, and ability to manage multiple projects by prioritizing deadlines
- Highly organized with strong attention to details with an eye for developing efficient, internal systems and workflow
- Excellent customer service skills. Handle highly confidential information
- Proven team player
- Knowledge of MS Word, MS Excel, Intacct or Nexonia (a plus)
