Job Description
We are seeking an organized, proactive, and goal-oriented Accounts Payable Clerk to ensure the smooth operation of the business of one of our clients. In addition to greeting office visitors and managing phone calls and emails, you will have the opportunity to contribute to the development of our office processes and procedures.
Responsibilities:
* Office Management and Administrative Tasks:
- Answering phone calls, managing mail and incoming deliveries, and maintaining office supplies
- Scheduling and agenda management for company ownership
- Coordinating and organizing group meetings
- Tracking meeting actions and providing follow-up as needed
- Handling company-wide communications
* Vendor and Accounts Payable (AP) Management:
- Managing all incoming emails related to AP, vendors, and other relevant issues
- Maintaining an electronic filing system and vendor list for Accounts Payable
- Reviewing and comparing vendor pricing
- Managing bill payment and tracking open Accounts Payable
- Overseeing permits, food licenses, and related payments
- Responding to emergencies (e.g., store power or phone issues)
* Deposit Tracking:
- Ensuring timely completion of weekly store deposits
- Providing weekly updates to area managers, directors, and the executive team
Working hours: 8:00 AM - 5:00 PM
Skills:
- Familiarity with standard office procedures and basic accounting principles
- Proficiency in Microsoft Office/Excel and other office management tools and applications
Education:
No Degree Required
Experience:
1-4 years
Qualifications:
- Demonstrated excellence as an office assistant, office administrator, or in a similar role
- Excellent leadership, time management, and organizational skills
- Exceptional communication abilities, both in-person and via written and phone communications
