Accounting/Administrative Assistant
Summary:
We are a busy medical research lab seeking a reliable, detail-oriented accounting/Administrative Assistant to join our team. This full-time role will be a mix of accounting and administrative duties. This position will be responsible for entering the accounts payable in QuickBooks and Bill.com, matching up packing slips and purchase orders.
The position will also assist and provide backup support to our Executive Assistant with general administrative functions in supporting the Medical Director and President with setting up conference calls, responding to inquiries, answering phones, ordering supplies and other various administrative duties as needed.
Essential Duties and Responsibilities:
- Data entry of vendor invoices and other payables into accounting system according to company procedures.
- Compiles and sort documents, such as purchase order, packing slips, invoices and checks, and routes to the appropriate individual for review and approval, and processing. Assists with the filing of accounting support documentation in a timely manner.
- Assists with month-end close.
- Reconciles credit card statement
- Answers phone calls
- Schedules Webex calls and teleconferences
- Processes purchase orders
- Follows company procedures with respect to all essential duties and responsibilities of the job.
Minimum Qualifications, Education, and/or Experience:
· Must be detail oriented and proactive
· Ability to work independently and multi-task
· Ability to organize and prioritize workload to meet deadlines
· Proficiency in Windows environment with Microsoft Office, Excel
· Bachelors preferred
· Minimum 2 years administrative/bookkeeping assistant preferred
· Experience with use of Quickbooks Online, Bill.com accounting software

Job Type: Full-time
Pay: $45,000.00 - $48,000.00 per year
