PRIMARY PURPOSE:
To assure the smooth and efficient operation of the Stronger Connections Grant Program as an aid to the productivity of the total school program.
QUALIFICATIONS:
Education/Certification:
  1. Associates Degree or higher in Accounting or business-related field (can be substituted with 3 years' experience)
Special Knowledge/Skills:
  1. Proficient keyboarding, word processing, and file maintenance skills
  2. Effective communication and interpersonal skills
  3. Strong organizational skills with attention to detail
  4. Ability to work collaboratively with the counseling department/mental health staff
  5. Maintain high level of confidentiality
  6. Prepare, analyze, verify and correct financial documents, statements and reports
  7. Accurately post transactions
  8. Ability to audit and generate reports for department
  9. Computer literacy in Microsoft Word, Excel, and PowerPoint
  10. Ability to communicate with staff, coworkers, parents and vendors
Experience:
  1. Minimum 3 years' experience in school business and/or finance
  2. Grant management experience preferred
  3. Proficient in English and Spanish preferred
  4. Basic knowledge of counseling programs and initiatives preferred

MAJOR RESPONSIBILITIES AND DUTIES:
  1. To support the management and administration of grants related to counseling programs and initiatives.
  2. Work closely with the counseling department staff to ensure compliance with grant guidelines.
  3. Maintain accurate grant records, and assist in the preparation of grant proposals.
  4. Review grant applications, verifying eligibility criteria, and assisting with the submission of grant proposals.
  5. Be responsible for tracking grant expenditures, monitoring budget allocations, and preparing financial reports for grant funding.
  6. Assist in grant reporting and evaluation, ensuring that all required documentation is submitted in a timely manner.
  7. Perform general office work and operate office machines with a high degree of efficiency.
  8. Assist with preparation and administration of the annual budget.
  9. Assist in compiling all data to prepare the annual budget, input budgets and balance all funds.
  10. Assist in monitoring budgets, preparing budget projections and analyzing budget to actual variances.
  11. Monitoring the next year's budget for account code accuracy.
  12. Reviews and prepares reports required by state, local and federal agencies.
  13. Preparation of purchase orders, payroll and travel.
  14. Attend and take notes during all required meetings and share with involved personnel.
  15. Records and reconciles Stronger Connections programs payments monthly.
  16. Assists in the preparation of schedules required by the district's independent auditors.
  17. Prepare monthly activity fund statements for campuses and departments.
  18. Responds to inquiries from grant director and coordinator.
  19. Demonstrate loyalty within a team approach to district initiatives and maintain a high level of ethical behavior and confidentiality of information.
  20. Adheres to the district policy on punctuality and attendance.
  21. Able to meet deadlines in a timely manner.
  22. Performs all duties in a safe manner to avoid injury to oneself and/or others as requested.

Tools/Equipment Used: Standard office equipment including personal computer, printer, copier, fax machine, shredder, scanner, and peripherals; standard instructional equipment. Ability to communicate effectively (verbal and written); interpret policy, procedures and data; ability to maintain objectivity.
Posture: Prolonged sitting and standing; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: Occasional district and out-of-district travel; occasional prolonged and irregular hours
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
