The Executive Assistant / Office Manager position is a multi-faceted role involving operations, executive administration, and facilities and systems management. The Executive Assistant / Office Manager will work closely with the CEO and Director of Operations and key management personnel to maintain the smooth and effective running of the company.
Job Duties
This is a really brief list due to time constraints, but this gives you a sense of the variety and range of this important position.
- Ensure that the office, including remote offices, are running efficiently.
- Supervise front desk, sales and collection support staff
- Work closely with Recruiting and Human Resource department to address any recruiting needs
- Conduct interviews for Administrative Support staff
- Work closely with the Human Resource department to conduct hiring and terminations
- Train and mentor all Support Staff
- Create processes and procedures to streamline the effectiveness of all Administrative Support staff
- Work closely with the sales team to ensure all new business is being handled in a swift and accurate way
- Contribute to team efforts by accomplishing requested tasks as needed.
- Perform other related office management duties
- Follow company rules and procedures.
- Work diplomatically with other members of the GGR team, maintaining a high degree of respect among your coworkers.
- Work with clients to assist with any needs on their accounts
- Be available to do some traveling to trade shows
- Attend management and strategy meetings, and document the ideas agreed upon and merge them with existing department plans
- Perform duties associated with office management
- Foster contagious enthusiasm
Qualifications
· 5 years’ experience managing in a legal and or financial environment
· 5 years’ experience with excel and other Microsoft products
· 5 years’ experience in a supervisor role over a minimum of 5 employees
This position reports directly to the CEO
