Position Summary

Under the direction of The Corps Officers, the Administrative / Corps assistant to the Corps officers at the Ontario Corps provides administrative support. The administrative Aid functions independently, initiating and completing task, coordinates schedules, answer phones, contact partners, maintains a log on donors and partners up to date.

Essential Functions

Administration Aid, for The Salvation Army is a position of sacred trust - representing, nurturing, protecting and advancing the mission and purpose of The Salvation Army; and serving the needs of people in our community with dignity and respect. As such, all employees are expected to fulfill the following responsibilities within the scope of duties they perform:

Organizes and prioritizes the various tasks of the Ontario Corps office in order of their importance.

  • Answering, tracking and follow up client phone calls& Corps programs.
  • Provide information about Corps and Social Service program.
  • Social Service assistance intake process, & Scheduling for next
  • Social service assistance applications recording process.
  • Keeping safe client's records confidential
  • Make and Keeping WM, CCM Corps records in R Drive
  • Food Pantry organize, packing boxes, make sack lunches and food distribution.
  • Support all the regular and seasonal assistance programs to community,
  • Prepare Social Service program reports and stats.
  • Make flyers, posters, letters, and social media posts.
  • Coordinate volunteers, applications, and assigned.
  • Processing AP, Credit Card receipts and AR
  • Participate in related to Salvation Army training.
  • Other tasks assigned by Corps officer as needed.
  • Communicates directly with donors, partners and Corps Officers daily regarding any issue.
  • Opens and sorts all incoming mail for the Ontario Corps including confidential matters.
  • Makes deposit to bank weekly after counting.
  • Hand out sack lunches and update bridges and others daily.
  • Set up daily sack lunches with fruit and sweet & other program.
  • Open and close gates in absence of driver.
  • Willing to empty trash cans, clean glass window and pick up chairs and tables as needed.
  • Confidentiality of all client's documents and personal information.

knowledge, Skills, and Abilities:

  • Detail Oriented, Organized, self-starter.
  • Bilingual English/Spanish
  • Ability to work with a variety of people in a non-discriminatory manner including (but not limited to): various races, ethnicities, religions, sexual orientations, personal appearance, and mental and physical.
  • Ability to perform under pressure and good management.
  • Data entry skills
  • Good oral and written communication
  • By its direct contact with, and representation to people who engage in Salvation Army programs, people who demonstrate an understanding of The Salvation Army's Christian mission are required for this position. 

Administrative software related skills 

  • Outlook knowledge, word, excel power point.
  • Ability to learn and apply the use of new software programs.

Seasonal Effort

  • Assist with client intake for seasonal assistance as needed.
  • Assist with toy distribution and food distribution as assigned by Corps Officers
  • Assist with collecting toys from
  • Assist setting up volunteers for bellringers and thanksgiving as assign by corps officers.
  • Assist with delivering or collecting kettles from
  • Open to work flexible Schedule hours.

  • Dress Code: Office attire is prescribed in the Employee Handbook as well as the addendum signed at
  • Hours: The normal workweek will be determined based upon activities and needed hours in order to adequately fulfill the position, the hours worked may include community
  • Communication: To enhance communication, a regular supervisory meeting will occur. This will be a time to set goals, discuss progress and other items as deemed It is expected that Outlook will be utilized to help streamline communication.
  • Evaluation: Employees will be evaluated following the probationary period, job change and then annually.

Working Conditions

Ability to walk, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to grasp, push, and pull objects such as files, file cabinet drawers, and reach overhead. Ability to operate computer, fax and telephone. Ability to lift 40 pounds.  

Minimum Qualifications

  • High school diploma
  • Must have data management and reporting skills.
  • Must be able to read, write and communicate in English.
  • Minimum of two years of secretarial administrative aide experience.
  • Bilingual in English & Spanish preferred.
  • Must have a clean Driving record and clean MVR check.

Skills, Knowledge & Abilities

  • If working in area with children a criminal background check is required with certification for Protect the Mission policies and procedures.
  • Must have ability to work with, direct, and relate well with co-workers, community members, and guests/clients.
  • Able to function in a fast-paced, frequently changing environment.
  • Must possess good Guest Relations skills.
