Description
PURPOSE
Tri-Cities Chaplaincy guides our community members to live their best lives, even and especially through the end of life. This Volunteer and Food Services Coordinator will be reporting to the Volunteer Supervisor and will have dual responsibilities, focusing on the oversight and supervision of Hospice Volunteers as well as managing Food Services. The role involves recruitment, training, and support for volunteers while also being responsible for food inventory management, meal preparation, and catering for events.
Minimum Position Qualifications

  1. Highschool Diploma; or equivalent combination of education, training, and experience considered.
  2. Excellent written and oral communication skills.
  3. Current Washington State Food Worker Card or obtained within fourteen (14) days after start date.
  4. Intermediate electronic handheld and computer skills.
  5. Strong multitasking abilities.
  6. Exceptional organizational skills.
  7. Able to work independently with sound judgment or as part of a team.
  8. Self-directed and self-motivated in job-related tasks.
  9. Follows HIPAA guidelines.
  10. Ability to work at designated work site locations.
  11. Available to work occasional evenings and weekends as needed.

Preferred Position Qualifications
  1. Experience in volunteering and recruiting preferred.
  2. Understanding of the Medicare Conditions of Participation guidelines regarding volunteers.
  3. Previous volunteer coordinator experience.

AGENCY REQUIREMENTS
  1. Demonstrate support and adherence to the agency's Mission, Vision, and Values.
  2. Participate in community Education and Outreach to raise awareness of agency-provided programs including but not limited to hospice care, advanced care planning, and bereavement.
  3. Responsible for knowledge and compliance with agency policies, procedures, and practices.
  4. Responsible for maintaining and protecting Patient and agency information in a confidential manner. Practice appropriate HIPAA confidentiality by accessing patient-related information on a "need to know" basis only.
  5. Reliable personal transportation, and current and valid driver's license and vehicle insurance.
  6. Satisfaction of state and agency requirements for Tuberculin testing
  7. Hepatitis B immunization series, proof of series, or signed declination.
  8. Proof of applicable Vaccination(s) on file or approved accommodation/declination as appropriate on file.
  9. Must pass a criminal background screening and pre-employment drug screening.
  10. Ability to meet the physical demands of the position (see attached physical requirements and environmental conditions).
  11. Complete agency and departmental orientation and training program(s).
  12. Complete all continued learning, education, policy reviews, and required training by their respective deadlines.
  13. Maintain licensure(s) and certification(s) required for the position.
  14. Available to work as assigned/scheduled.

Responsibilities and Essential Functions
  1. Volunteer Coordination
  • Assist with volunteer program duties, including recruitment, orientation, training, retention, and evaluations for In-Home Volunteers, office volunteers, and Hospice House volunteers under the guidance of the Volunteer Supervisor.
  • Convey policy updates to the volunteer group through binder updates and electronic communications.
  • Oversee the volunteer schedule, ensuring adequate support across programs and filling shifts as needed.
  • Participate in Hospice Interdisciplinary Group meetings to assess the need for volunteers for patients and families.
  • Support the Volunteer Supervisor in preparing for monthly training, including assembling volunteer binders and maintaining agenda schedules.
  • Assist in regular volunteer file reviews to maintain compliance.
  • Participate in the "We Honor Veterans" program.
  • Engage in outreach networking presentations and community activities to promote volunteerism in Benton and Franklin Counties.
  • Assist new volunteers in securing required testing (TB test, Hep B - optional, criminal background checks).
  • Serve as a role model for volunteers through active participation in volunteer activities.
  • Identify and facilitate initiatives to improve volunteer programs and services.
  • Coordinate supplemental volunteer training as needed in partnership with the Volunteer Supervisor, including the memory bear program and comfort animal program.
  1. Food Services Management:
  • Prepare and serve nutritional meals and other foods as required to support the menu specific to diet orders.
  • Oversee and coordinate the preparation, service, and storage of food in compliance with laws, rules, regulations, policies, and procedures related to food service.
  • Ensure kitchen sanitation and safety standards are maintained.
  • Maintain a high standard of personal hygiene.
  • Promote a flexible approach to meal provision in line with the individual patient care ethos of the hospice.
  • Review food menus and update them regularly per CMS Conditions of Participation.
  • Oversee and coordinate food inventory levels, grocery shopping, and Food ordering weekly and as needed within budget.
  • Provide catering services for internal and external meetings, training, employee, and volunteer events.
  • Ensure all food safety documentation is completed, and temperatures are taken and logged in compliance with food safety regulations.
  • Ensure all allergen documentation is fully completed.
  • Keep all food storage areas, fridges, freezers, etc., stocked and rotated following FIFO (First in First Out) procedures to reduce waste.
  • Ensure the security of food stock areas.
  1. Perform any other duties as assigned.

At Tri-Cities Chaplaincy, we carefully establish salary ranges for our positions by taking various factors into account, including education, certifications, knowledge, skills, experience, and market conditions. These ranges are tailored to match the diverse programs and services we offer. Our goal is to ensure fair compensation for candidates based on these factors while maintaining internal peer equity.
Pay Range: $22.18/hr - $35.49/hr
Target Hiring Range for this Position: $22.18/hr - $24.00/hr
Full Time Benefits
  • Mileage reimbursement at $.65 per mile.

  • Health Reimbursement Account for Medical covered members. Member is responsible for the first $1,125 of their deductible or $2,250 for family. After which member may submit for reimbursement up to $3875 per covered member or $7,750 for family.
  • Full time employees may be eligible for Public Service Loan Forgiveness (PSLF) https://studentaid.gov/manage-loans/forgiveness-cancellation/public-service .
  • Premium pay for bilingual in Spanish; verified through ALTA staff testing.
  • Upon review/approval Premium pay for approved certifications.
  • Tuition Reimbursement.
