Bastrop Veterinary Hospital is looking for a hard working, enthusiastic client Service Representative to join our team. Full-time and part-time receptionist positions are available. Bastrop Veterinary Hospital is a locally-owned and operated mixed animal veterinary hospital in historic Bastrop, TX. Our 7-doctor practice is fast-paced and growing quickly. We are expanding our team to keep pace with the increasing Bastrop area pet population.
Our client Service Representatives (CSR) are the face of our practice as our visitors' first impression of the hospital. We expect a friendly, warm greeting from our front desk team whether this is in-person or over the phone.
Your day-to-day responsibilities will include:
- Greet clients in person or over the phone in a warm and professional manner
- Providing excellent customer service for our clients and their pets
- Answering phone calls and assisting clients with scheduling appointments and pet questions
- Checking clients in and out and ensuring all needs have been met
- Entering and updating client information and patient records
- Responding to or forwarding emails and faxes
- Preparing documents for imaging/scanning into our electronic patient records
- Copying, faxing, and emailing documents to clients or veterinary offices
- Payment transaction processing and daily reconciliation
- Act as a liaison between clients and our veterinary team. Connects clients with other team members to facilitate answers to questions.
- Confirms all appointments in advance, ensuring clients receive accurate information on preparing their pet for the appointment
- Communicate protocols and recommendations from our veterinary team to clients
- Troubleshoots, handles, and follows up on problems as they present. Seeks assistance with solving problems as necessary while taking responsibility for facilitating the outcome.
- Tackling other projects as assigned
Qualifications:
- Friendly and hard-working attitude.
- High school diploma or GED required
- At least one year of client-facing customer service experience preferred
- Previous experience in a medical or veterinary office prioritized
- Work efficiently in a busy hospital environment
- Maintain calm demeanor during emergency situations. Demonstrate compassion
- Perform and document basic financial calculations accurately.
- Tech savviness essential as records and appointment scheduling is digital
- Must have a pleasant presence on the phone and the ability to manage numerous calls.
- Effective communication skills
Hours:
- The position requires a mix of opening and closing shifts (office hours are 7am to 6pm M-F)
- Required to work 2 Saturdays a month (office hours are 8am-12pm)
