Job Description Summary / TWC Summary:

Under the Executive Project Manager’s supervision, manages the TRIO administrative, and clerical functions related to the business operations, functions, and activities of the TRIO Programs division. Performs and completes special projects of a highly skilled nature.
This is a Grant Funded position.

Essential Duties Summary:
  • Administers the daily office operations, including the coordination and supervision of staff members.
  • Assists with TRIO budget preparation. Monitors the TRIO division budget and tracks expenditures.
  • Prepares reports regarding budget activity and account balances. Maintains budget documentation files and ledgers.
  • Maintains, monitors and updates records of budgetary expenditures.
  • Develops resources and techniques to enhance timely and efficient workflow and office productivity.
  • Verifies availability of TRIO funds for department Personnel Action Forms, supplemental salaries and related budget transfers.
  • Participates in the preparation of staff performance appraisals.
  • Prepares and processes vendor invoices and purchase requisitions; reviews purchase requests for compliance with university and state procedures; and funds availability.
  • Places orders for supplies and equipment from approved vendors. Obtains price quotes when necessary.
  • Coordinates delivery and storage of supplies and equipment, maintains and verifies inventory records. Reviews delivery invoices to ensure accuracy of items delivered. Maintains files of purchase orders and invoices.
  • Serves as administrative liaison for department and resolves problems with internal and external contacts.
  • Collaborates with supervisor to update departmental policies and procedures. Establishes uniform correspondence procedures for the department or division.
  • Coordinates calendar of appointments, meetings, conferences, special events and travel arrangements.
  • Supervises and coordinates day-to-day activities of clerical support staff within the department. Evaluates performance of assigned staff.
  • Prepares meeting agendas and takes and distributes minutes of staff meetings.
  • Assists with departmental special projects.
  • Uses department and University policies, practices and procedures to handle a variety of questions and problems. Gathers data and verifies accuracy of information on standard University forms.
  • Performs other job-related duties as assigned.

Hiring Range:

$55,513.00 - $69,392.00

Education:

Masters’s degree with a minimum of 3 years TRIO/grant or similar experience required. Degrees in other fields may be considered with evidence of sufficient university-level coursework and/or professional continuing education in the areas listed above.

Department of Education Priority Training, preferred.Blumen software (Database for Student/Annual Report) preferred.
