We are looking for a Business Administrator to join our team. This role will support the executive team and contribute to company decisions and direction. This role will work with all departments within the company to provide business support to the many facets of our core business but will primarily support the Managing Partner in the operation of our organization.
Preferred candidates will have a strong foundational understanding of organizational efficiency, customer service and accounting. This role requires interaction with numerous departments as well as external clients.
Key Responsibilities Include
· Assist executive team in coordination of meetings (calendar management + meeting logistics)
· Manage and respond to email when appropriate for executive team
· Coordinate company and leadership team planning meetings
· Attend and assist with delegation of team assignments from client meetings
· Handle confidential reports and information with discretion
· Monthly reconciliation of expense accounts for client billing
· Prepare and complete expense reports on a monthly basis
· Prepare board packages for quarterly association meetings
· Work with bookkeeper and CPA to transmit financials and meet annual tax deadlines
· Maintain office corporation records and files
· Coordinate technology needs with outside consultant
· Track bank reconciliation completion for multiple ownership entities to ensure current reporting available at all times
· Approve payables for corporate expenses
· Coordinate the annual insurance policy renewal process
· Coordinate the annual ad valorem tax payment process
· Maintain Certificate of Insurance schedules monthly to ensure reporting requirements are met
· Coordinate corporate donations and charity event participation
· Manage the corporate reporting calendar
· Approve administrative staff time sheets
· Review and approve vacation requests to ensure core responsibilities are covered
· Assist with employee satisfaction and wellbeing surveys
· Manage software licensing and renewals
· Manage service contracts and renewals
· Assist with client reporting as requested
Qualifications and Education Requirements
Bachelor’s degree from a four-year college or university preferred.
Willing to train but prefer a minimum of 3-5 years’ experience in a professional office environment with key responsibilities focused on administration, accounting, or an analytical role.
Experience with accounting software such as Kardin, Avid, MRI and/or Sage strongly preferred, but not required.
Ability to incorporate organizational software such as Monday.com for greater efficiency.
