Job Summary:
The Parish Business Administrator is responsible for directing and managing the parish general business functions, the physical facility and related personnel on behalf of the pastor. Under the general direction of the pastor, provide efficient, professional, cooperative business and facility management leadership within the parish with the purpose of allowing the pastor maximum ability to provide pastoral care to the parish community. The position reports to the Pastor and operates with wide latitude for the use of independent judgment and initiative.
Ministerial Character:
The Pastor is the visible principle and foundation of unity in the Parish (Santa Barbara Catholic Church) which the Bishop has entrusted to him. He makes Christ's mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them.
Positions employed at Santa Barbara Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.
Essential Job Duties:
- As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of Santa Barbara Catholic Church in both your professional and personal life.
- Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
- Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.
- Supervise and direct the efforts of the receptionist and clerical, and general staff of the parish.
- Work with the pastor to maintain all buildings, equipment and grounds in a fully functional and safe condition.
- Supervise and direct the efforts of all maintenance, housekeeping and custodial staff.
- Work with the pastor to protect the condition and longevity of all buildings, furnishings, and equipment by preparing, implementing and managing cost effective planned maintenance programs.
- Plan, schedule and manage facility(s) use; Church calendars for parish activities, committees and building use schedule.
- Plan, schedule and oversee all church decorations for various holy days and holidays of the church.
- Work with the pastor to project manage all facility expansions and alterations working with architect, general contractors, and parish building committee.
- Work with the pastor to handle all routine facility related issues with the Chancery Office.
- Schedule all visiting clergy and communion services when pastor is out of town.
- Handle paperwork for upcoming funerals, baptisms, and marriages.
- Maintain all sacramental records.
- Assist other staff where needed.
- Coordinate the actions of all clerical and maintenance staff to support the need of other staff, ministries and the parish community.
- Coordinate all internal and external communications (i.e. staff communications with other staff, members of the parish community and parish Chancery office).
- Coordinate Fundraising activities: Spring Festival, Summer Festival, Fall Festival and others.

- Knowledge of office management practices.
- Knowledge of building and custodial operations.
- Knowledge of best practices in communications.
- Knowledge of computer systems to include office software and database management.
- Skill in managing multiple priorities.

- Skill in managing day to day operations of general office personnel.
- Skill in prioritizing work of others.
- Ability to be sensitive to the nurturing components of parish administration.
- Ability to maintain discretion and confidentiality in handling sensitive issues in all church matters.
- Ability to handle multiple priorities in a flexible, efficient, and service oriented manner.
- Ability to work with diverse personalities and individuals respectfully inside and outside of the church.
- Ability to use various computer applications for the efficient operations of the church office.
- Ability to be sensitive to the needs of the parish community.
Minimum Qualifications:
Education and Trainings:
- High School diploma.
Experience:
- 3 years of hands on business management experience.
- 3 years of direct supervisory experience in a clerical and professional setting.
Language:
- Spanish and English language proficiency.
Catholic Requirement:
- Must be a practicing Roman Catholic in good standing.
Licenses/Certifications:
- Valid Texas driver's license.
- Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.
Working Conditions:
- All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church.
- The Parish is an at-will employer.
- All buildings and vehicles owned by the Parish are tobacco free.
- Working in a fast-paced environment with priorities and plans that may change rapidly.
- Working on weekends, evenings, and some holidays may be required.
- Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations.
- Will be required to adhere to established dress codes and conduct standards.
- May be required to use personal or parish vehicle to drive to off-site locations.
- Travelling within and outside the parish to meetings and other events may be required, and travel may require overnight lodging.
