General Description
The Green Bay Police Department is seeking an organized and detail-oriented individual to support the operations of the Professional Standards Division. The Support Assistant performs administrative duties including confidential transcription, registration and payment for training classes, compiling job applicant information and maintaining confidential records in the internal affairs database.
Work Schedule: Monday-Friday, 7:00 a.m.-3:30 p.m.
Hiring Range: $23.58-$24.23 per hour
No residency requirement.

Examples of Duties
  1. Performs confidential administrative tasks including typing, letters, memos, billing and filing. Types internal confidential discipline reports and lawsuits. Transcribes electronic files used in case reports, confidential investigations and confidential internal investigations.
  2. Composes routine memos and enters other relevant data into computer including overtime for various events including Packer games and Fourth of July assignments. Enters FLSA time into department staffing program.
  3. Maintains permissions for access to the records management system.
  4. Completes enrollment for training schools at the department and outside locations including class registration, fee payment, hotel reservations, department vehicle reservations and flight arrangements. Completes expense reports. Completes travel packets including all relevant paperwork, tax-exempt forms, destination maps and necessary department credit cards.
  5. Creates records management training files and Chief notification letters for upcoming training events.
  6. Assists with organizational components of the annual Chief's Conference.
  7. Acts as the internal administrator for classes through NWTC, FVTC and CVMIC.
  8. Prepares department meeting facilities including providing snacks and beverages and checking in outside class attendees. Purchases and monitors needed materials and good for training hosted at the department.
  9. Maintains a calendar of events for all internal meeting spaces.
  10. Compiles information for potential job applicants for both sworn and civilian positions including the maintenance of paper and electronic files along with audio and video interview files.
  11. Maintains PSD training and travel credit card accounts. Keeps a log of temporary credit card assignments. Balances monthly credit card billing statements.
  12. Maintains permission files for officer employment requests from outside agencies.
  13. Assists with arrangements and notifications of officer random drug screens.
  14. Assists with regular fingerprint submissions of department employees for records checks to the State of Wisconsin.
  15. Performs other duties as assigned.

Minimum Qualifications Required
  • High school diploma or equivalent.
  • Successful completion of post high school courses in Administrative Professional or related field preferred.
  • Three or more years of full-time office experience which included a substantial amount of word processing.
A combination of equivalent experience and/or education may be considered.
Knowledge, Skills & Abilities
  • Considerable knowledge of office practices and procedures. Considerable skill of business writing and forms. Considerable knowledge of research procedures. Considerable knowledge of filing procedures.
  • Skill in utilizing electronic transcription equipment.
  • Ability to work independently without specific instructions. Ability to handle confidential information with discretion. Ability to communicate effectively both orally and in writing. Ability to utilize a computer and the required software. Ability to establish and maintain effective working relationships with staff, the public and outside vendors. Ability to work the required hours of the position.

Typing and other testing tools may be used to assess applicants' skills.
PHYSICAL REQUIREMENTS
Ability to perform the following activities:
  • Lifting up to 20 pounds.
  • Carrying up to 20 pounds.
  • Frequent standing and sitting.
  • Ability to focus for long period of time on projects.
  • Ability to reach, stoop and lift.
