Job Title: Summer Conference Manager (Student Position)

Reports To: Assistant Director of Operations

Location: The Towers at City College of New York

Compensation: See below

FLSA Status: Non-Exempt Student

Company Information:

Capstone On-Campus Management (COCM), with headquarters in Birmingham, Alabama, is a group of student housing professionals focused exclusively on the management of housing communities owned by non-profits and/or highly affiliated with a university.

Summary:

The Summer Conference Manager (SCM) is a Student Position that is an important part of the Summer Conference team. This position is responsible for managing the delivery of conference services to contracted groups and guests as arranged through the Housing Office at the Towers.

Essential Duties and Responsibilities:

  • Assist with supervising and training 8 conference assistants.
  • Coordinate staffing schedules (duty, office, check ins, set up etc.)
  • Manage assigned conferences by completing tasks by specified deadlines such as: determining room assignments and services, being on-site and arranging staff for check-in/out, writing a post-conference summary, etc. Communicate with conference coordinators and share information in a timely manner to fellow conference staff, Facilities, Residence Life, and other Towers staff.
  • Serve in the on-call duty rotation with other Towers professional staff at the Professional Staff On-Call (PSOC) level. Shifts may range from three (3) to seven (7) nights depending on staff schedules.
  • Conduct quality checks of all suites prior to conference move-in dates.
  • Be an active, informative, and supportive team member in weekly Conference Team and Towers staff meetings. Provide leadership at weekly Summer Conference Staff meetings.
  • The Conference Manager is a representative of the Towers professional team and will be expected to become knowledgeable about conference operations and policies during training.
  • The Conference Manager will be expected to assist in special projects and other duties as needed, such as reviewing conference group billing; revising current procedures; creating a Summer Conference assessment report; assisting the Director of Residence Life and Housing, Assistant Director of Operations, and other professional office staff aiding in decisions for future summers, etc.
  • Preparing for all aspects of assigned conferences to ensure a successful program for the conference guests.
  • Maintaining contact with conference coordinators to ensure that the Assistant Director of Operations or their designee is aware of all group needs and potential problems.
  • Ensure all necessary preparations for assigned individual groups have been performed and that the office is ready for the groups’ arrivals.
  • Attending mandatory weekly meetings to discuss conference plans and concerns.
  • Preparing all guest check-in materials (access cards, keys, door tags, etc.)
  • Adhering to assigned work schedules and maintaining accurate conference operational records.
  • Performing daily customer service operations such as handling guest check-in and check-out, explaining procedures, giving directions, and reporting specific needs/concerns of guests.
  • Reporting emergency maintenance requests by contacting the appropriate person(s).
  • Assisting in completing an inventory of all linen at the conclusion of the summer (August 24).
  • Completing additional duties as assigned.

Qualifications:

  • High school diploma or general education degree (GED).
  • Must be registered as a full-time college student for Fall 2024 in a New York City college or university.
  • A current Towers resident.
  • In good disciplinary and financial standing with The Towers.

Preferred Qualifications:

  • A current Towers resident who has renewed their contract for the 2024-2025 academic year.
  • A registered full-time college student who will be in senior undergraduate standing or graduate level standing beginning in the Fall 2024 semester.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.

Available to work 25 hours each week for the entire summer session (May 25 – August 24). Workdays and hours vary based on Summer Conference needs.

The SCM is required to be available all day for the following specific dates:

  • May 25: Academic Contract Move-Out Date
  • July 25: Annual Contract Move-Out Date
  • August 24: Fall Move-In Day

Compensation:

The SCM will work ten (10) hours each week for a furnished four-bedroom apartment (estimated worth $ 6,000 per summer period). If the SCM resigns or is terminated from the position, they must vacate their room and move out of The Towers within three business days. If eligible to reside at The Towers, they may sign a new Housing License Agreement and relocate to the new housing assignment within three business days of the end of employment.

The SCM will work the remaining fifteen (15) hours at a rate of $16.00 per hour (maximum of 15 hours per week).

Position is a part-time Student Position and not eligible for benefits.
