Job Summary
The Manager of Conference Services facilitates the planning and execution of corporate meetings & events on-site at our Bethpage Headquarters from inception through completion while providing professional and outstanding customer service. This position promotes a professional atmosphere for conferences, facilitators, and internal clients, and is responsible for overseeing all internal events. This individual will have a passion for teamwork and collaboration across teams, a focus on hospitality, and display attention to detail and organization. This position will also assist with the Corporate Services team with off premise events, as assigned and needed.
This position will report to the Senior Director, Corporate Services.
Responsibilities

  • Qualify and manage on-premise meetings and events in designated common spaces within the Bethpage Headquarters while adhering to company guidelines, policies & procedures.
  • The manager is responsible for acting as a liaison between the internal client, cross-functional departments and external vendors to ensure adherence to building policies and seamless execution.
  • Develop contracts, COI's and event riders with vendors, hotels and ground transportation companies to maximize savings and mitigate risk.
  • Create and manage event registration websites through web-based data system.
  • Manage the following (but not limited to): collaborate with caterer on menu selections, invitation management, registration lists, RSVPs, A/V, event materials, event décor, on-site event support, etc.
  • Provides ongoing support, including drafting and distributing event communications, organizing data, files and materials, compiling information, preparing presentations, agendas, event floorplans, reports and responding to any requests for assistance.
  • Work cross functionally with affiliated departments (finance, facilities, IT, legal, security, marketing, food service, reception & external vendors) to ensure accuracy of requests and compliance with corporate policies, procedures, and standards of service, allowing for the execution of meetings and special functions.
  • Track and manage savings as well as meeting spend via budgeting and vendor negotiation. Create & manage event budgets and ensure compliance to budgeted guidelines.
  • As assigned, manage organization and execution of company-wide event promotions with employee leaders. Establish and maintain relationships in order to communicate company event initiatives clearly and efficiently.
  • Maintain and update shared mailboxes, calendars and internal office databases.
  • Manage corporate premium for events, including sourcing, procurement and design.
  • Provide administrative support and process all payments using OnBase or Oracle.
  • Collaborate with Corporate Services team on project management for larger events held at the Bethpage HQ and company-wide.
  • Assist with other initiatives that may arise at the Bethpage office, as needed, and perform all other duties, as assigned.
  • Ability to work nights and weekends, as needed.

Qualifications
  • Bachelor's Degree in Communications, Hospitality Management or equivalent event experience.
  • Experience coordinating multiple event logistics and multiple simultaneous events.
  • Utilizes and is proficient in Microsoft Office to produce high quality reports, presentations, or other documents.
  • Working knowledge of Concur, Cvent and Condeco.
  • Strong organizational, project and time management skills.
  • Ability to develop positive and respectful relationships with senior leadership, staff and vendors of all levels to implement successful events.
  • Ability to work independently, meet multiple deadlines and respond well to change.
  • Must maintain a professional demeanor and possess the highest degree of confidentiality and diplomacy.
  • Applicants must have ability to work flexible hours including evenings and weekends, if needed.
  • Limited travel is required. This includes overnights to company events if needed.
  • Possess a comprehensive knowledge of all operational departments within the company.

This position is identified as being performed in/or reporting to company operations in New York State. Salary ranges are supplied in compliance with New York State law. Pay is competitive and based on a number of job-related factors, including skills and experience. The starting pay rate/range at time of hire for this position in the posted location is $96,020.00 - $153,632.00 / year. The rate/Range provided herein is the anticipated pay at the time of hire, and does not reflect future job opportunity.
