SUMMARY:
Under moderate supervision, organize and manage the routine work activities of the Student
Engagement Specialist and provide support to the Student Services department. Provides
secretarial/clerical support to the Student Services department and Student Engagement
Specialist.

MAJOR RESPONSIBILITIES AND DUTIES
Records, Reports and Correspondence:
- Maintain student records and processrequestsfor information.
- Input case management notes and other information into student information systems.
- Maintain scheduling data on computer.
- Compile, maintain, and file all reports, records and other documents as required.
- Run and gather data reportsto assist case management and student accounting.
Accounting
- Perform routine bookkeeping tasks and maintain department budget records.
- Prepare and process department purchase orders and payment authorizations.
- Order and maintain inventory of office supplies and program equipment.
- Prepare and process milage reimbursement for staff
Other
- Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
- Maintain a schedule of appointments and make travel arrangementsfor departmentstaff.
- Make meeting arrangementsfor department activitiesincluding preparing materials,scheduling and setting up facilities, and arranging equipment/meals.
- Receive,sort, and distribute mail and other documentsto department staff.
Policy, Reports, and Law
- Maintain confidentiality.
- Develop and maintain systemsfor retrieval of information in support of all programs; compile, maintain, file, and secure all physical and computerized reports, records, and other required documents.
- Pursue Professional Development activitiesforself and assigned staff; ensure that Professional Development activities are aligned with District goals and initiatives and current professional research.
- Comply with all policies, operating procedures, legal requirements, and verbal and written directives.
- Comply with the Professional Code of Ethics and Standard Practices for Texas Educators.
- Follow District safety protocols and emergency procedures.
- Perform other related duties as assigned.
QUALIFICATIONS:
Education/Certification:
- High School Diploma or equivalent
Experience:
- Three (3) years successful clerical experience
SPECIAL KNOWLEGDGE/SKILLS/ABILITIES:
- Ability to maintain accurate and auditable records
- Ability to use software to develop or maintain spreadsheets and databases and do word processing
- Proficient keyboarding and file maintenance skills
- Basic math skills
- Strong organizational, communication, and interpersonal skills
