The Office of the Attorney General for the District of Columbia (OAG) is seeking a Staff Assistant for the Civil Enforcement Section (CES) of the Civil Litigation Division. CES handles administrative and Superior Court civil enforcement actions on behalf of District of Columbia agencies, including administrative agencies under the Mayor such as the Alcoholic Beverage and Cannabis Administration and the Office of Risk Management, and independent agencies such as the Board of Ethics and Government Accountability and the Office of the Inspector General. CES also defends agency administrative decisions before the Office of Administrative Hearings and the Superior Court of the District of Columbia, including summary suspensions and other disciplinary actions against healthcare professionals’ licenses by the Department of Health. The Staff Assistant provides a variety of clerical and administrative functions auxiliary to the supervisor’s and other staff’s responsibilities.
Duties and Responsibilities
The incumbent’s primary responsibility will be to provide substantive administrative support to the Section Chief and other CES staff. The incumbent’s duties will include, but not be limited to:
- Performs administrative, program, and technical work to support CES, including establishing cases in the litigation case management database, uploading materials to the database, calendaring deadlines as appropriate, and setting attorney assignments to keep database up-to-date.
- Handles various litigation support tasks, including preparation of binders, copying documents, scheduling witness interviews, drafting subpoenas, reviewing documents in Relativity, and otherwise based on the needs of the CES caseload.
- Maintains procedures and timekeeping for CES and the confidentiality of associated personnel data.
- Prepares and oversees purchase orders and direct voucher requests on behalf of CES by utilizing appropriate software programs, identifying and describing applicable information, and following up on submitted requests.
- Receives telephone calls and visitors to the office and ascertains the nature of the calls or business of visitors to determine appropriate action.
- Responds to a variety of inquiries and refers inquiries to the appropriate office staff or to other organizations, as required, including the handling of requests for information and resolving or assisting in resolving a variety of conflicts that may arise.
- Screens incoming correspondence and determines appropriate action, including to determine those that can be acted upon personally and then taking necessary action or referring correspondence requiring supervisory attention to supervisor or other appropriate staff.
- Maintains control records on incoming correspondence and action documents and follows up on work in progress to ensure timely reply or action.
- Obtains and maintains office supplies for the section.
Qualifications and Education
Candidates must have at least one (1) year of specialized experience. Specialized experience is administrative experience that equipped the applicant with the knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, at least one (1) year of specialized experience must have been equivalent to at least the next lower grade level in the normal line of progression for the occupation in the organization.
