Job Summary
Provides high level support to the Sr. Vice President of Research (SVPR). Plans, directs, coordinates, and evaluates the day to day operations of the office. Serves as corporate secretary of the FIU Research Foundation, and prepares reports to the FIU Board of Trustees, FIU Research Foundation, and the FL Board of Governors. Provides directions in the preparation of conferences and/or presentations for assigned programs, and collaborates with other DoR Directors to promote programmatic initiatives.
- Provides administrative support to the Sr. Vice President of Research and other AVP's with matters related to the Office of Research & Economic Development (ORED) and University Graduate School (UGS).
- Works closely with the ORED management team in developing and implementing the mission of ORED.
- Collaborates with ORED's leadership team to identify and promote programmatic initiatives and opportunities.
- Works with Research Information Systems (RIS) in updating ORED's website. Maintains all social media contents for (ORED); works with ORED management team to ensure accuracy and applicability of messaging.
- Assists in providing management, administrative direction, coordination, and control of activities related to the various research initiatives, programs, and services, as assigned by the SVPR.
- Advises and assists in planning, organizing, directing, and reporting of activities of assigned programs, services, and/or initiatives. Assists leadership in developing and implementing procedures for those programs, initiatives and/or services, to include supporting internal and external data collection.
- Provides direction in preparing conferences and/or presentations for assigned programs, services and/or initiatives, which may include serving as liaison with other colleges, schools, divisions, centers, institutes and/or departments.
- Directs the efforts involved in the execution of complex research projects and management of Research agendas, initiatives, programs, and services, to include compiling data, performing analyses, and preparing reports to the FIU Board of Trustees, the FIU Research Foundation, and the Florida Board of Governors, among others, as directed by the SVPR.
- Maintains close and collaborative working relationships with all ORED leaders as well as with the University administration, external agencies, and a wide variety of University, state and community leaders.
- Serves as the primary liaison with University's Strategic Communication, Government, and External Affairs.
- Functions as FIU Research Foundation de facto corporate secretary.
- Responsible for Center/Institutes review process.
- Maintains the Emergency Plan.
- Recommends and implements operational workflow processes.
- Under the direction of ORED management, reviews, proofs and updates all documents posted online.
- Assists with writing and/or editing letters for SVPR's signature; edits other written materials as directed, including gathering information for proposals, presentations, newsletters, marketing and/or promotional materials.
- Supervises a team of administrative/staff and temporary employees.
Minimum Qualifications
- Bachelor's degree and four (4) years of office or related experience providing administrative support, or coordinating functions of an office or department. .
Desired Qualifications:
- Bachelor's degree and six (6) years of administrative or related experience providing support for or coordinating high level functions within an executive office; OR ten (10) years of administrative or related experience providing support for or coordinating high level functions within an executive office; OR an equivalent combination of relevant education and/or experience.
