Primary Responsibilities

The Senior Project Coordinator will work with Project Managers and technical team members in support of transportation projects and studies. We are seeking an organized team player who will be able to assist project managers on a daily basis and take initiative to resolve issues when encountered. Quality and timely performance, communication and strong multi-tasking skills are essential. Additionally, the senior admin will be expected to provide tutelage to non-senior staff and gain practical insights into the group’s process to establish new workflows.

In the role of Senior Administrative Project Coordinator, we'll count on you to:

  • Apply company quality assurance guidelines and procedures for project document management.
  • Create and maintain paper and electronic files.
  • Compose, type, format, proofread, edit and organize documents, reports, specifications and correspondence.
  • Co-ordinate and track information flow between project participants, including sub-consultants, and, where appropriate, between the project team(s) and the client(s) in the design and construction phases.
  • Attend project meetings and prepare detailed minutes of meetings.
  • Co-ordinate document production for interim and final deliverables.
  • Assist in the preparation and production of proposals.
  • Develop PowerPoint presentations based on input from project team members.
  • Assist in the preparation of contracts and sub-contracts.
  • Order and monitor project insurance certificates.
  • Assist with developing project guides per HDR project and quality procedures, including assisting with the development of work plans and level of effort cost estimates.
  • Schedule project reviews and quality audits.
  • Develop and track/monitor project schedules for meetings and deliverables.
  • Monitor, update and review project financial status (performance against budget) to assist with invoicing and forecasting cost to complete within HDR’s accounting system (EBS).
  • Prepare and review draft monthly progress reports and milestone reports.
  • Exhibit professionalism with clients.
  • Assist in planning efforts and process improvements.
  • Perform other duties as needed
Qualifications


Required Qualifications

  • Associate degree in a closely related field or combination of education and relevant experience.
  • A minimum 3+ years related experience is required.
  • Excellent written and verbal communications skills are essential.
  • Proficient use of Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to establish and build healthy working relationships with clients, vendors, and peers.
  • Ability to prioritize competing demands for your time supporting multiple projects and workflow on multiple simultaneous projects.
  • Must be a proactive, self-starting, detail-oriented individual with strong interpersonal and organizational skills.
  • An attitude and commitment to being an active participant of our employee-owned culture is a must.

Preferred Qualifications

  • Bachelor’s degree preferred
  • 5 years related experience is preferred
