The Senior Administrative Assistant, Academic & Leadership, performs a broad range of clerical, administrative and general office activities to support the facilitation of administrative workflow within the department.
- Prepare and authorize ads for publication.
- Responsible for advertisement placement and authorizing payment for advertisements placed in major medical journals, online job boards, medical field specific association websites, and conferences.
- Coordination of ad campaigns in various prominent medical journals, associations, job boards, both online and in print.
- Proactively monitors expiration of ad placements and confirms renewal with recruiter before expiration.
- Prepare a candidate evaluation link and collect and distribute survey responses to recruiter and/or department.
- Send candidate after visit summary including information to submit expenses and emails of participants.
- Responsible for tracking metrics for Department reports that are produced for a variety of needs across the institution.
- Ensure EEO data Affirmative Action Pipeline report is accurately updated quarterly and includes all candidates from various sources with their respective status, disposition code, visit date; record and track all search advertisements including their costs, invoice status, timeline for renewal and responsible for checking in with recruiter prior to expiration; responsible for reviewing return on investment; etc.
- Participate in planning and arrangements for semi-annual New Faculty Orientation (NFO). Ensure certifications are complete for each NFO attendee and record credits in Lawson.
- Must respond to frequently changing executive schedules while providing a high quality NFO experience.
- Coordinate arrangements between Conference/Media Services and Sodexo.
- Coordinate candidate visits to include travel, hotel, and other reservations.
- High School Diploma/GED.
- Two (2) years of office and administrative experience.
