Salary: $14.63- $21.05
Primary Purpose:
Ensure the efficient operation of the Career & Technical Education Office/Career & Technology Institute, and to serve as the administrative assistant to the CTE Specialist. Work under general supervision and support the other CTE staff. Handle confidential information and frequent contact with all levels of district employees, outside stakeholders, including the general public and industry/community partners.
Qualifications:
Education/Certification:
High school diploma or GED Two years of college coursework in business related subjects or equivalent work experience.
Special Knowledge/Skills:
Proficient typing, word processing and file maintenance skills Excellent organization, communication (written and oral), and interpersonal skills Knowledge of school district organization, operations, and administrative policies Ability to use personal computer and software to develop spreadsheets, databases, and word processing. Works well under pressure to meet deadlines
Experience:
Three years experience in office employment, preferably in a school or school administration office setting.
Major Responsibilities and Duties:
1. Receipt of telephone calls and answer questions from CTE/CTI stakeholders, including parents, students, ISD teachers and staff, as well as community and industry partners.
2. Compile information necessary for Career & Technical Education Specialist to complete assigned tasks
3. Maintain a schedule of appointments for CTE Director/CTI
4. Prepare correspondence, forms, reports, and other documents for the CTE Director/CTI Principal.
5. Provide service and support for the CTE Director/CTI Principal
6. Process requisitions for supplies, materials, and equipment as needed from local district and federal funding sources
7. Track inventory and maintain accounting of district-wide equipment for CTE programs that support all secondary campuses
8. Prepare written communication for CTE meetings with campuses, staff, teachers and industry Page 2 of 3
9. Process staff payroll and substitute payroll forms for campuses when CTE provides funding.
Budget: Monitor budget for the CTE Director/CTI Principal Prepare and process budget requisitions Prepare regular budget reports for the CTE Director/CTI Principal
Other:
1. Compile pertinent data as needed when preparing various federal, state and local reports
2. Maintain physical and computerized files including mailing lists, advisory committees, volunteers and other office communication.
3. Maintain calendar of CTE events and outreach activities, including guest speakers, field trips, community service and CTSOs Coordination of travel arrangements for CTE Director/CTI Principal for various conferences during the year.
4. Update handbooks, policy manuals, and other documents as assigned.
5. Assist with research pertaining to continuous improvement of the CTE Department
6. Receive, sort & distribute mail and other documents
7. Maintain strict confidentiality and courtesy at all times
8. Perform any duties as necessary for the effective and efficient operation of the Career & Technical Education Office.
