Position Summary:
Reports to the health services administrator. Responsible for performing a variety of clerical and administrative
duties which require discretion in compliance with MTC Medical and customer directives
Essential Functions:
- Provides clerical and technical writing support to the health services administrator, director of nursing,
and physician.
- Receive telephone calls and visitors; tactfully refer them to proper individual if health services
administrator is not available.
Develop and maintain a secretary manual that addresses all major aspects of the secretary’s role.
Maintain calendar of events, schedules, appointments and take minutes of meetings.
Coordinate meeting arrangements such as time, place, attendees and matter to be discussed.
Maintain correspondence control log and coordinate preparation of special reports.
Maintain central library of required documents, handbooks, directives, facility operating procedures, etc.
Ensure distribution to designated staff.
Responsible for monitoring and maintaining the facility credentialing program.
Participate in the development of new and revised facility operating procedures in compliance with
corporate procedures. Maintain and update master facility operating procedures.
- Make recommendation for purchase of equipment/supplies; maintain expense account records and
confidential files.
Regular attendance is required.
Promote the development of positive social skills through modeling appropriate behaviors and
intervening when inappropriate behaviors are observed.
Maintain accountability of inmates and property; adhere to safety practices.
Compiling and creating monthly reports as assigned, such as HSR, ALDF, QI chart reviews and
corrective action plans.
Collecting Autoclave Logs.
Adding information to QI Studies.
Conducting chart reviews on a monthly and regular basis to report to HSA and DON.
Typing and maintaining quarterly reports and meeting minutes.
Maintaining Employee Monthly Education.
Maintaining and Compiling NCCHC Binders-Upkeep on a Monthly, Quarterly & Annual Basis
Compiling ACA Folders and Maintenance
Complete New Hire Paperwork and maintain Employee Files-Credentialing, Training, and
Competencies.
- Maintain Detainee worker clearances in order and scanned into detainee chart.
It is expected that the incumbent shall perform other duties as assigned within his/her scope of work as
determined by management.
Education and Experience Requirements:
High school graduate or equivalent; two (2) years clerical or related experience, and computer proficiency
required. Associate’s degree in business administration, secretarial science or associated field preferred.
Must have an extensive working knowledge of MS Word and MS Excel. A good working knowledge of MS
Outlook is desired. Ability to communicate effectively, both orally and in writing, is required. Must successfully
complete required pre service training. Valid driver’s license in the states of Texas with an acceptable driving
record required, unless waived by management.
