Job description

PURPOSE STATEMENTThis position is responsible for assisting the team in the operation of the High School office, providing support to specific functions in the office as assigned.ESSENTIAL FUNCTIONSGreet students, parents, staff and the public; answer a wide variety of telephone and in-person inquiries; promote positive public relations for the district.Communicate effectively with parents, students, staff and community members in both English and Spanish.Serve as general office support. Format and type a wide variety of correspondence, memoranda, newsletters, bulletins, forms, reports, records and other materials; duplicate and distribute materials; screen calls; maintain appointment calendars; schedule meetings; open and route mail. Translate materials as needed.

Compose flyers and forms for school programs and events as required.Operate computer and a variety of software packages such as word processing, spreadsheet, database, desk top publishing, and system computer applications.Provide essential information such as student lists, mailing and file labels, and a variety of reports to the district office and various community and grant partners; coordinate and track student records in the district student records system.Maintain a variety of program records and research; track records for compliance and/or completion; maintain record accuracy; input data into computer; produce reports as requested. Examples include athletic registrations, discipline, attendance, ASB receipts, general fund and other accounting records.Model appropriate and cooperative behavior, including protecting confidential information.Work with students under the direction of certificated teachers to facilitate academic skills.Learn instructional techniques under the direction of a teacher and independently carry out instructional programs developed by the supervising teacher.Perform routine tasks in monitoring and assisting student progress in the classroom and other school activities.OTHER FUNCTIONSMay serve on various district committees and/or departmental work teams.Perform related duties consistent with the scope and intent of the position.REPORTING RELATIONSHIPSReports to the assigned building administrator.Receives direction and guidance from other designated staff to include classroom teacher(s).MENTAL DEMANDSExperiences frequent interruptions and shifting priorities.Required to deal with a wide range of student, staff and public behaviors and needs in a positive and service oriented manner.Must occasionally work with distraught or difficult parents and students.PHYSICAL DEMANDSAbility to lift and/or move up to ten (10) pounds.MINIMUM QUALIFICATIONSEducation and ExperienceBilingual English/Spanish required.High School diploma or GED; college level coursework preferred.Education, training, skills, and experience necessary to carry out the assignment, preferably with a minimum of one (1) year successful building secretary or office management experience.Knowledge, Skills and AbilitiesKnowledge/awareness of own cultural identity and how this influences behavior, and desire to learn about the cultural identity of others.Ability to establish and nurture an environment that promotes cultural competence and equitable treatment of staff, students, and patrons of the district.Ability to communicate effectively, establish and maintain effective working relationships with students, parents, staff and the public.Strong communication skills both in person and on the telephone.Effective customer service and public relations skills; confidence in dealing with the public.High-level keyboarding and data entry skills; skill in operating a variety of office machines; ability to operate a computer and learn the operation of specific software programs.Skill in correct grammar and spelling; ability to proofread and make corrections.Ability to compose and format correspondence.Ability to set up and maintain accurate files and records, organize and prioritize work.Required to maintain confidentiality.Licenses/Special RequirementsFingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor.Must complete Walla Walla Public Schools Risk Management and Bloodborne Pathogens Training upon hire.Ability to obtain CPR or First Aid certification.TERMS OF EMPLOYMENTSecretary I on the PSE Classified Salary Schedule A7.5 hours per day, 5 days per week, 189 days per school year; PSE Salary Schedule https://www.wwps.org/district/employment/salary-schedules , Retirement, SEBB Benefits, 9 Holidays, Paid Sick LeaveCONDITIONSThe preceding list of essential functions is not exhaustive and may be supplemented as necessary.The Walla Walla School District does not discriminate in any programs or activities on the basis of sex, race, creed, religion, color, national origin, age, veteran or military status, sexual orientation, gender expression, gender identity, disability, or the use of a trained dog guide or service animal and provides equal access to the Boy Scouts and other designated youth groups.
