Job description

Scheduling Coordinator
EXPLO Intermediate, Bronxville, NY
June 23, 2024 - August 9, 2024

We are seeking organized, tech-savvy, and communicative people who love solving puzzles to manage the daily scheduling of our 50+ person faculty.

About Us:
At EXPLO, our engine is curiosity. We drive joyful learning through investigation, collaboration, and play.

We’re a mission-driven, educational non-profit with more than 85,000 student alumni who hail from 90 countries. We offer day and residential summer programs for clever and curious students in grades 4 through 12 on three of the most beautiful college campuses on the East Coast of the U.S. For many, EXPLO is a life-changing experience. Our students sometimes describe it as the place where they feel like the truest version of themselves. We know you’ll transform the lives of our students. We hope the experience will transform yours, too.

EXPLO’s summer programs run this summer fromJune 30th to August 9th, 2024, with staff orientation beginning on June 22nd.

The Opportunity:
Behind the scenes, the Scheduling Coordinator makes it possible for our faculty to know where to be and when. Our program is dynamic and staff duty assignments, break times, projects, and meetings change daily. The Scheduling Coordinator organizes all of these changes using our unique scheduling software and solves the daily staffing “puzzle” which keeps campus safe, events well-staffed and fun, and allows instructors to focus on students over logistics.

Schedule Coordination:
  • Learn how to navigate EXPLO’s customized scheduling software and build out schedule templates
  • Clearly and concisely communicate assignments and scheduling conflicts to staff members and supervisors
  • Assign staff to jobs and stations around campus so that we can make sure our students are always supervised
  • Work with the Programming Manager to match up staff with evening assignments that play to their strengths and assign them to activities they’ll love
  • Puzzle out break times, making sure campus is always supervised and that our staff have meals and rest time off
  • Check the accuracy of all staff schedules daily and adjust for any last minute changes
  • Problem-solve scheduling conflicts in a creative way

Campus Operations + Student Life:
  • Receive and implement feedback from your supervisor and other managers on campus to improve systems and processes
  • Chaperone students on weekend trips off-campus
  • Perform operational and programmatic tasks as needed, which may include assisting with event set up, working individually and as a team to complete tasks on campus that are necessary to program function, and performing additional duties, such as coverage for student activities, as they may be assigned to you

About You:
You’ve got:
  • Ability to think broadly about the bigger picture of staff scheduling
  • Availability to live and work on campus for the duration of the summer program

Ideally, you’ve also got:
  • 1+ years of post-high school experience by the summer
  • Some experience with kids and/or adolescents

Compensation + Benefits:
This is a seven week, seasonal position. Remote training for this role may begin as early as January 2024. In person training begins in mid-June 2024. Compensation for this role starts at $4950 plus room and board. For the health and safety of our community, EXPLO requires all employees and new hires to be vaccinated against COVID-19.
This role is also available at EXPLO Junior in Weston, Massachusetts; you can check out this option here.

Other benefits include:
  • Room and board for the duration of 7-week program including all meals
  • Staff-only affinity spaces and other professional support and development opportunities
  • A week-long, hands-on orientation and job training
  • Best in the industry staff to student ratios
  • Daily time off that typically includes every other night off and one weekend day per weekend off
  • Openness to working with your college or university to support internship or practicum credit for your EXPLO work
  • EXPLO offers two certifications for summer staff members to honor and illustrate the skills built throughout the program. Certifications include: "Experiential Learning: Student-Centered Teaching" and "Coaching for Growth"
