Sales Administrative Assistant Job Duties and Responsibilities:
· Manage project coordination including Word documents, Excel spreadsheets, Power Point, Video, and webcast presentations for internal and external meetings.
· Heavy use of graphics in the creation of MS PowerPoint presentations.
· Supports the sales team with writing and maintaining business reviews and sales presentations creating/preparing PowerPoint presentations.
· Coordinates and assists in preparation of sales meetings, regional meetings, sales manager meetings, in collaboration with Sales Team as appropriate.
· Organizes and keeps information in shared sales network database. (group calendars, print and digital collateral assets, photos, and other information as needed)
· Preparation of written correspondence, e-mail, and expense reimbursement forms.
· Coordinates various activities, reports, and regional correspondence.
· Performs all departmental support activities.
· Maintains departmental files including updates and changes to materials.
· Plans and coordinates internal and external meetings for the department serving as point of contact.
· Plans travel and assists with expense reporting and supplier invoice management.
· Can prepare regularly scheduled reports.
· Prepare and process accounting forms including customer rebates, promotional invoicing, new vendor forms, new item forms, and other related forms.
· Assist clients with questions pertaining to sales and marketing.
· Assist in issuing rebate agreements to client.
· Compile, review, and submit staff expense reports as a proxy monthly.
Sales Administrative Assistant Qualifications:
· Practical experience with Adobe software is a plus.
· Occasional travel required to support meetings.
· Must be reliable, flexible, and able to manage confidential information.
· Mathematical and problems solving skills.
· Proficiency in MS Office products (Word, MS Excel, PowerPoint, Teams, and MS Outlook)
· Individuals must have an ability to receive direction from multiple individuals while having a knowledge of prioritizing deadlines.
· Sales Operations experience preferred.
· Must have excellent organization skills.
· Experience scheduling travel arrangements (air, car, and hotel)
· Experience managing multiple electronic calendars and contacts simultaneously.
· Experience using current internet, mobile phone, and all other current technology.
· Experience working in an advertising sales environment strongly preferred.
· Must have an upbeat attitude and ability to work independently.
· High school diploma or GED equivalent
· Excellent verbal and written communication skills.
· Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact and professionalism.
· Excellent organizational skills and attention to detail.
· Proficient with Microsoft Office Suite or related software.
· Prior related office experience preferred.
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
