The Rooms Coordinator at American Airlines - The Landing at Skyview 6 is responsible for general office administration, for the Rooms Division. He/she is also responsible for providing attentive, courteous and efficient service to all guests. This individual supports the Rooms management team in achieving collective goals, through assistance with project-based duties to ensure a smooth operation.
RESPONSIBILITIES
- Answer guest inquiries about hotel and training center services, facilities and hours of operation in a timely manner.
- Answer telephone and email messages. Respond accordingly.
- Completes ordering for Rooms Division as needed, including department office supplies. Maintain adequate inventory of office supplies.
- Maintain and stay abreast of the latest computer programs/innovations (as applicable).
- Open and distribute mail.
- Support any administrative or special project needs as directed by GM & Rooms Division Leadership
- Filing of all pertinent correspondence in a timely manner.
- Type all correspondence pertaining to department.
- Maintain trace file as needed.
- Maintain consistent communication interdepartmentally.
- Assist with effectively planning, setting up and execution of holiday/special events and initiatives, including site inspections, holiday activities, large arrivals or any pool or service closures or disruptions.
- Assist with including but not limited to: answering Front Desk phones, responding to guest texting systems, guest services emails. Prepare daily reports and respond to all social media.
- Coordinate amenities for inquiring guests, and VIPs.
- Perform other duties as requested by management.
- Manages Lost and Found program-- ship items and communicate to the guest in a timely fashion.
- Process all guest packages, mail, and messages in order to ensure the information is received by the guests in the most timely and accurate method possible.
- initiate and co-ordinate the compilation, design and printing of all collateral content used within Rooms Division.
- Provide administrative support to the Rooms Division management team, including generating correspondence, maintaining/organizing the filing system, support with personal paperwork, and updating the list of business contacts, etc.
- Generate daily welcome cards for all VIP guests entering the hotel and requesting services (if needed).
- Investigate comments/complaints from checked out guests and follow up with appropriate emails or letters of apology, as dictated by the General Manager, within 24 hours.
- Record minutes of Tactical Team meetings and distribute them, if necessary. If required, you must attend the meeting in person and generate the minutes.
Requirements:
- High school or equivalent education required. Bachelor's Degree preferred, with emphasis hospitality.
- Must possess strong computer skills, including Outlook, Word, Excel, PowerPoint.
- Excellent customer service skills.
- Possess the ability to work under pressure and have strong organizational skills.
- Good command of the English language, both spoken and written
- Display a polite and professional attitude to internal and external guests.
- Medium work - Exerting up to 25 pounds of force occasionally, and/or 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
- Minimum 2 years of administrative support experience, preferably in a hotel setting.
- Must be able to abide by the company appearance standards and compliance with the designated uniform
- Demonstrated ability to work collaboratively and communicate effectively, effectively interact with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds at all levels of the organization.
- Must have employment eligibility in the U.S.
- Regularly required to sit, stand, walk, bend and use hands to handle objects, tools or controls.
- Must be able to lift up to 25 lbs. and work the majority of shift on feet.
- Frequently is required to talk or hear.
