We are looking for a detail-oriented reservation agent/assistant to not only assist our customers with their booking needs but also provide assistance to the administrator/manager. You will provide various planning and booking services, including answering customers’ questions, making travel suggestions, transportation, tours, and rental cars. To be successful as a Reservation Agent you must be responsible, able to work with minimal supervision, and have excellent customer service skills. Additionally, you should be able to upsell and have excellent knowledge of our services in order to provide the best service possible to our customers.
Reservation Agent / Manager’s Assistant - Job Description
Our reservation agents play a key role in helping customers book their transportation arrangements, tours, and vehicle rentals. The job requires good customer service skills, excellent telephone manners, knowledge of sales techniques, and preferably some understanding and experience of the tourism industry. The reservation agent is usually the first point of contact for customers when they contact our company. This means it's necessary to answer questions, provide a range of travel options and use sales techniques to encourage customers to make a booking. This position is remote and does not require a presence at the office. Reservation agents work primarily on the telephone, receiving calls on sales and customer service phone lines; but the communication is not limited to phone calls as the agent will be required to answer emails, SMS, and various chats. A reservation agent is typically the person a customer calls to discuss their options and proceed with a booking. As such, it's necessary for agents to have excellent interpersonal and communication skills. Another element of the reservation agent's role can be to take calls from customers who are experiencing problems with their travel arrangements. If an airline cancels a flight or customers require cancellation or amendment to their travel plans, it's the duty of the reservation agent to take calls and make contingency plans. This can mean dealing with customers who are experiencing stress and anxiety, so it's useful for agents to display compassion, empathy, and problem-solving skills to find a suitable solution.
Reservation Agent Responsibilities:
- Making reservations for customers based on their various requirements and budgetary allowances.
- Checking the availability of transportation on the customers’ desired travel dates.
- Helping plan travel itineraries by suggesting local tourist attractions and places of interest.
- Processing payments and sending confirmation details to customers.
- Sorting out any issues that may arise with bookings or reservations.
- Selling and promoting reservation services.
- Answering any questions customers might have about the reservation process.
- Up-selling, when appropriate, by informing customers of additional services or special packages, such as tours, vehicle upgrades, or other services available.
- Providing support to customers who may need to amend or cancel a reservation.
- As an assistant to the manager, you will cover the VIP clientele and manage the manager's extension when the manager is unavailable.
- This position may also assist with the planning and communication between the events and group coordinators when the manager is unavailable.
Reservation Agent Requirements:
- High school diploma.
- Experience working in sales or public relations, preferably in the hospitality or travel industries.
- Customer-service experience.
- Bilingual. Proficient in Spanish and English.
- Excellent written and verbal communication skills.
- Multi-tasking and time-management skills, with the ability to prioritize tasks, is a must.
- Extremely detailed oriented.
- Proficient in Computer skills specifically but not limited to Microsoft Office Suite, Google Business Suite, Limo Anywhere, and GoTo.
- Data entry experience.
- Flexible working hours.
- Previous experience with high-end clientele and discerning customers.
- Previous experience as an administrative assistant is preferred.
- Previous experience in booking transportation services is preferred but not required.
- You should have a computer and high-speed internet.

- This is a position for a professional services contract.
- This position is remote.
- This position pays $10 per hour
- Substantial % in commissions based on sales.
- This position will fluctuate between part-time and full-time as needed depending on the tourism industry season.
- This position requires passing training prior to hiring.
