CLASS TITLE: REGISTRAR I BASIC FUNCTION: Prepare and maintain accurate academic cumulative records for students at an assigned school site; conduct evaluations of student records for progress with respect to credits earned, required courses completed and achievement of graduation; communicate with counselors, assistant principals, instructors and others regarding student status. DISTINGUISHING CHARACTERISTICS: Register I positions are typically assigned to Alternative/Continuation High Schools. The majority of the worktime involves register related duties. There are also general clerical related duties required to support the principal's secretary at the site. Register II positions are assigned to Comprehensive High Schools and provide full-time register related duties at the site. REPRESENTATIVE DUTIES: Prepare and maintain accurate academic cumulative records for students at an assigned school site; collect grades from teachers, calculate GPA's and post credits and grades to transcripts; maintain accurate roster of students enrolled; prepare report cards. E Conduct evaluations of student records for progress with respect to credits earned, required courses completed and achievement of graduation; notify counselors or other personnel of students with deficiencies in credits; prepare graduation lists and diplomas. E Communicate with parents, counselors, assistant principals, instructors and others regarding student status and progress; prepare correspondence to various government, County, State and private agencies verifying student enrollment, attendance and performance. E Request, receive and interpret student transcripts from other schools in person or on the telephone; provide transcripts to other schools according to established procedures; receive and process related fees. E Operate a computer and other office equipment as assigned; enter student data including new students, adds, drops and related data into appropriate computer system. E Register students into classes and collect appropriate fees; assist with proper completion of registration forms as needed. E Participate in other activities including the preparation of driver's education certificates, overseeing the GED testing program, assisting with attendance-related activities, processing various fees, assisting with scholarship requests and other activities as assigned by the position. E Order forms, diplomas and other office materials and supplies as needed. Train and provide work direction to assigned staff. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Procedures and operations of a Registrar's Office. Applicable sections of State Education Code and other applicable laws. Operation of a computer and assigned software. Modern office practices, procedures and equipment. Record-keeping techniques. Oral and written communication skills. Interpersonal skills using tact, patience and courtesy. ABILITY TO: Interpret, apply and explain provisions of federal, State and District regulations related to records, transcripts and reporting activities. Plan and organize work. Communicate effectively both orally and in writing. Maintain records and prepare reports. Establish and maintain cooperative and effective working relationships with others. Work independently with little direction. Analyze situations accurately and adopt an effective course of action. EDUCATION AND EXPERIENCE: Any combination equivalent to: college-level course work in office management or related field and three years increasingly responsible experience maintaining student records. WORKING CONDITIONS: ENVIRONMENT: Office environment. Constant interruptions. Excessive intermittent noise. PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a computer keyboard and other office equipment; sitting for extended periods of time. Bending at the waist, kneeling or crouching. Reaching overhead, above the shoulders and horizontally to retrieve/store files and supplies. Board Approved 6/5/01
