Special Project CoordinatorPosition Overview
Silicon Valley International School is currently searching for a Registrar and Special Project Coordinator to join our team. The successful candidate will be responsible for overseeing all academic records related to our students, including class enrollment, schedules, report cards, and other cumulative records.
The Registrar will work closely with various stakeholders and departments to ensure the accuracy of student records, organize records, and provide academic information when needed. Additionally, they will be assigned Special Projects as needed, such as school merge coordination and reopening logistics.
The ideal candidate for this position must have excellent organizational skills and be proficient in computer programs and databases [i.e., Asana, Blackbaud Education Management, MacOS]. They will work with a small team to catalog and maintain student academic records.
The position reports directly to the Chief Information Officer (CIO) and is an hourly, non-exempt position with benefits. The salary range is between $35.00 to $50.00 per hour and will be determined based on the candidate's relevant work experience and academic attainment.
Primary ResponsibilitiesRegistrar/Data Management
- Maintain up-to-date and accurate physical and computerized auditable student and associated family records.
- Record, create reports, and maintain correspondence of student records, including but not limited to student cumulative folders, demographics, grades, report cards, diplomas, vaccination and/or immunization records, and transcripts.
- Assist with the enrollment, withdrawals, and transfer of students and process applicable records.
- Provide support for the Chief Information Officer by maintaining school databases.
- Maintain database integrity and security through regular monitoring, error correction, and data clean-up.
- Responsible for the creation, distribution, and completion of all school forms.
- Assist families with forms as necessary.
- Create and prepare report cards and transcripts for distribution to families.
- Support the CIO for the Student Information System (INTLnet).
- Update and manage schedules in the SIS (INTLnet).
- Manage Emergency notification system.
- Create reports and imports and export of data.
- Write and assemble documentation and training materials for the use of database systems.
- Work with the CIO and other stakeholders to define standard practice and oversee flow of information between various constituent management systems.
- Support employees in all departments with database matters, including integration, updates, queries, and related issues.
- School merge coordination.
- School reopening logistics.
- Documenting and following up on important actions and decisions from meetings.
- Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Create and maintain a project management calendar to fulfill each goal and objective.
- Provide administrative support as needed.
- Other projects as identified and assigned.
- Experience with databases, records management, and/or scheduling in education, corporate, and/or non-profit environments is preferred.
- Apple/macOS experience preferred.
- Very strong spreadsheet skills (Microsoft Excel or Google Sheets preferred).
- Strong proficiency with computer technologies, including databases, scheduling, productivity applications, and project management tools such as Asana.
- Knowledge or experience with Blackbaud Education Management products is a strong plus.
- Possesses strong oral and written communication skills.

- Sensory Requirements: Some tasks require visual perception and discrimination.
- Some tasks require oral communication ability.
- Independent travel between multiple school sites.
Compensation and Benefits
Our compensation is based on education and years of experience. The salary range for this full-time position is based on an hourly rate of $35.00 to $50.00.
This position is categorized as an administrative staff member; we are therefore pleased to offer the following comprehensive benefits package, which includes the following:
- Employer-paid medical, dental, and vision insurance for the employee only

- Accrue six weeks of paid time off [9.85 hours per paid period]
- Two weeks of holiday pay in December [which will include Christmas and New Year’s, per the school calendar]
- Paid sick leave – eighty (80)-hours equivalent or ten (10) calendar days per fiscal year
- Eight School holidays- per the school year calendar
