Description:

It is the primary responsibility of the High School Registrar to maintain accurate records of students’ courses and grades. The High Registrar works with the High School Principal to establish student schedules and maintain student schedule changes.

Requirements:

RESPONSIBILITIES AND DUTIES:

  • Complete all word processing, correspondence, and memos for department.
  • Receive and screen phone calls.
  • Process incoming mail.
  • Coordinate annual department events: Awards Assembly.
  • Ensure all student schedules are up to date.
  • Enter transfer of classes for students.
  • Maintain current mailing list
  • Prepare class roll lists for end of marking periods.
  • Enter all grades, print report cards, and follow through on incomplete grades.
  • Oversee distribution of report cards.
  • Print class ranks after June grades.
  • Verify attendance records, academic records, and grade point averages.
  • Prepare honor rolls at end of each semester, and eligibility lists after each marking period.
  • Complete all processing, recording, and follow-up regarding CUMS.
  • Maintain updated policy and procedure manual.
  • Relieve receptionist as requested.
  • Maintain accurate office files.
  • Maintain updated, accurate transcripts and send copies as requested.
  • Maintain SAT files.
  • Oversee training and supervise office aides.
  • Assist with graduation preparations.


QUALIFICATIONS:

  • Good organizational skills.
  • Ability to give attention to details.
  • Ability to add, subtract, multiply and divide whole numbers, copy figures, count, and record numbers.
  • Ability to follow written, verbal, or diagrammatic instructions; write identifying information; request supplies verbally or in writing.
  • Ability to file, post, and mail materials; copy data from one record to another; interview to obtain basic information such as age, occupation, and number of children, guide people and provide basic direction.
  • Ability to perform medium physical work; exerting up to 50 pounds of force occasionally, up to 20 pounds of force frequently and up to 10 pounds of force constantly to move objects and to do activities such as climbing, balancing, kneeling, crouching, crawling, reaching, standing, walking, pushing, grasping, pulling, fingering, lifting, feeling, and repetitive motion.
  • Clarity of vision at 20 feet or more, 20 inches or less, and more than 20 inches and less than 20 feet.
  • Ability to identify and distinguish colors.
  • Ability to observe an area up or down, left, or right while eyes are fixed on a given point.
  • Ability to judge distance and space relationships, to see objects where and as there actually are.
  • Ability to express or exchange ideas by means of the spoken word.
  • Ability to perceive the nature of sounds with no less than a 40db loss at 500 Hz, 1,000 Hz, and 2,000 Hz with or without correction.
  • Ability to receive detailed information through verbal communication.


PHYSICAL DEMANDS:

This position’s duties are normally performed in a standard work environment based on the activity scheduled. Some physical effort is required; therefore, the employee must occasionally lift and/or move up to 50 pounds. He or she may be required to walk or sit for extended periods and may be exposed to outside weather conditions, including but not limited to heat, cold, humidity, rain, and direct sunlight. Manual dexterity and coordination are required over 50% of the work period while operating equipment, such as a computer keyboard, mouse, calculator, and other similar machines.



WORKING CONDITIONS:

Working conditions are dynamic. This requires the willingness to work a flexible schedule that may require occasional weekend and/or evening hours. The employee will be using his or her personal vehicle; therefore, he or she must hold a valid driver’s license in the state where he or she is based and have appropriate auto insurance as required by law. The employee needs to be able to work in a fast-paced environment, prioritize work assignments, and do well under pressure. He or she must also demonstrate professionalism and integrity, take initiative, and exercise confidentiality. Finally, the employee must understand and apply all school policies and procedures, follow instructions, be detailed oriented, and have good follow-through on all projects.
