Under the general direction of the City Clerk, the incumbent provides skilled administrative and technical support in the recording of City meetings of City Council, and the Council Advisory Boards and Committees. Assists departments with the training of Agenda Management programs for City Council and Advisory Boards and Committees of the City. Answer telephones and assists public with inquiries. Provides assistance to the City Manager's Office, as needed. This job has no supervisory responsibilities.
Responsibilities and Reporting During an Emergency Situation:
Essential Employees may be required to work during a declared emergency. Depending on the nature of the emergency, this may require working around the clock for several days on short notice.
Non Essential Employees will not be required to work during a declared emergency. The employee's Department Head will determine when the employee will be required to work.

Duties/Responsibilities
- Attend meetings, take and transcribe minutes of meetings of City Council.
- Prepare agendas, including pre-meeting and action agendas and meeting minutes.
- Trains other department liaisons on the Agenda Management Program.
- Maintain files of official documents.
- Conduct research for public records requests.
- Prepares correspondence for transmittal of official documents approved by City Council.
- Prepares related notifications.
- Maintain indexes for City records.
- Assist with City elections.
- May be asked to do verbatim minutes as needed.
- Assists in answering phone calls and routing of calls to appropriate parties.
- Extensive public contact at meetings by the public, vendors, contractors, and consultants.
- This position requires regular and reliable attendance and the employee's physical presence at the workplace
- Performs other duties as assigned.
- Proficient in grammar and writing skills.
- Proficient in the use of word processing, spreadsheet, and database software.
- Extensive knowledge of filing.
- Knowledge of document management systems.
- Knowledge of Records Management Program and Sunshine Law.
- Knowledge of practices and techniques of minute taking and preparation.
- Knowledge of City Code and Florida Statutes as they relate to the City Clerk's office, including election laws.
- Knowledge of practices and techniques of minute taking and preparation.
- Ability to independently prepare correspondence and transcribe minutes.
- Ability to operate necessary equipment, including personal computer, transcriber, copier, video recorder, audio recorder and other standard office equipment.
Minimum Requirements
- High School diploma or GED.
- Three (3) years of responsible clerical experience;
- Recording or transcription experience preferred.
