- Greeting and welcoming guests who come to the office
- Answering the telephone in a professional manner, taking messages, and/or directing callers to the appropriate associate or department
- Providing basic and accurate information, whether in-person or via phone/email
- Notifying company personnel of visitor arrival and processing all information on the CRM system
- Contributing to the accounting and other teams as needed by performing administrative tasks, filing, and other clerical work
- Performing other clerical receptionist duties such as filing, photocopying, scanning, faxing, tracking, and archiving while maintaining a meticulous online filing system
- Preparing documents, letters, presentations, and other communication materials for internal distribution, types and spell-checks documents, creates graphs and other displays
- Prepares, checks and processes expense reports/client documents
- Maintaining office security by following safety procedures and controlling access via the reception desk (monitor logbook)
- Ensuring the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
- Maintaining the kitchen area safe and clean by complying with procedures, rules, and regulations
- Managing all incoming and outgoing mail including UPS, FedEx, and DHL domestic and international shipping needs for the office
- Performing administrative functions such as ordering department supplies, arranging for equipment repairs, servicing equipment, including seeking proper authorization for items requiring prior approval
- Assisting with food orders, luncheon planning, and planning of other business-related meetings as requested
- Takes and prepares notes of meetings, conferences, and similar proceedings
- At slow times, may focus primarily on data entry
- High School Diploma (Bachelor's degree preferred)
- Efficient use of Microsoft Word, Excel, Outlook
- Any knowledge of other accounting, tax, or other software would be a plus
- Excellent verbal and written communication skills
- Must be dependable, able to work independently, and stay on task
- Outgoing personality, strong teamwork skills, and a professional attitude
- A willingness to learn and grow within the role
- Being sales-oriented and enjoying engagement with clients is a big plus!
