JOB TITLE: RECEPTIONIST/OFFICE ADMINISTRATOR

COMPENSATION: $20.00 PER HOUR

CLASSIFICATION: FULL TIME, NON-EXEMPT

THE POSITION

Vantage Vehicle International, Inc., headquartered in Corona, California, has an immediate opening for a Receptionist/Office Administrator. The Receptionist/Office Administrator is the first point of contact at the Vantage vehicle International Inc. office, welcoming clients & visitors, answering incoming phone calls & inquiries, and executing requested administrative tasks. They assist in establishing and maintaining a professional and organized office environment where all employees can thrive.

Vantage Vehicle designs, assembles and sells low speed utility vehicles recognized worldwide for their durability, dependability, and versatility.

Vantage offers a range of vehicles from gasoline and electric platforms for the efficient and comfortable transportation of passengers and cargo that can be customized to meet the needs of each owner. From vans that offer seating for seven passengers to trucks with payload capabilities of more than 1,000 pounds, there's likely a Vantage Vehicle that is perfect for you!

Vantage's electric vehicles use state-of-the-art components and maintenance free batteries without compromising the amenities of a fully equipped automobile.

Every Vantage Vehicle comes standard with a fully enclosed cabin to protect drivers from the elements, lockable doors, radio, MP3 plug-In (or CD player), heaters and defrosters, and adjustable contoured driver and passenger seats.

RESPONSIBILITIES AND ESSENTIAL DUTIES

· Greet incoming visitors with a welcoming presence.

· Maintain a welcoming reception area.

· Order office supplies including drinks and coffee supplies.

· Draft correspondence and other formal documents.

· Confirm CEO’s daily appointments.

· Help manage CEO’s workflow tasks and client notes in CRM system.

· Coordinate calendar for client’s quarterly and annual reviews.

· Assist clients both virtually and over the phone with customer service matters.

· Performing mailing and package tracking functions.

· Work with the company CRM systems and spin-off apps.

· Keep digital filing and other organization systems organized and updated.

· Maintain prospect lead tracking and conduct follow-up calls and emails with prospects.

· Assist with the development of company processes to maximize efficiency.

· Perform all other general office tasks as assigned by Principals.

· Collaborate with other team members to ensure smooth office operations.

· Stock mailing/shipping supplies (Fed-Ex boxes/envelopes & USPS certified mail, etc.).

· Perform other duties as assigned by Office Manager.

PREREREQUISITE KNOWLEDGE, SKILLS, AND ABILITIES

  • High school diploma; additional certification in Office Management a plus
  • Proven experience as a receptionist, front office representative or similar role
  • Proficient in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills
  • Able to multitask in a fast-paced environment – required.
  • Able to manage a variety of tasks and open to take on new responsibilities.
  • Excellent time management skills and the ability to prioritize.
  • Superior customer service skills
  • Enjoys working in a team environment.
  • Willingness to grow professionally within the organization.

PHYSICAL AND MENTAL REQUIREMENTS

  • Prolonged periods sitting at a desk and working on a computer.
  • Manual dexterity to operate a computer.
  • Correctable vision and hearing.
  • Excellent interpersonal skills.
  • Clear, easy to understand oral communication ability.
  • Must be able to lift up to 20 pounds at times.
