Receptionist/Administrative Assistant
Primary Location: KUKA North America
Hours: 7:00am – 4:00pm
SUMMARY
Receives visitors by greeting, welcoming, and directing them appropriately and professionally. Provides daily administrative support to the HR team and leadership team with a high level of trust, integrity, and confidentiality. Supports, and acts as an example of, the KUKA Cares and KUKA Leads core values.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Creates a welcoming, pleasant & professional environment for all visitors entering KUKA’s lobby
- Opens and closes the lobby each work day; Keeps lobby organized
- Answers, screens and redirects incoming phone calls.
- Maintains visitor sign-in logs; issues visitor badges; instructs/reinforces safety and security protocols for visitors
- Contacts KUKA host when visitors arrive so visitors are escorted into the our secured areas
- Monitors and orders office, kitchenette, and coffee supplies for various locations throughout the building. Restocks supplies within the appropriate locations.
- Sorts and distributes daily incoming mail
- Scans invoices and/or shipping receipts for data processing.
- Supports lunch requests for internal customer or department meetings
- Supports internal company KUKA Cares events and HR team as needed
- Provides other administrative support across the organization when needed
- Acts as the emergency check-point leader to account for visitors during an emergency evacuation (annual drills included); directs first responders if or when there is an emergency within the building.
Qualifications/Requirements
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
- Experience working in a fast-paced environment and/or in customer service desired
- Able to deal with emergencies in a timely and effective manner.
- Ability to multi-task and remain positive in a high traffic environment.
- Strong organizational and time-management skills
- Computer proficient with the ability to use Microsoft Office
