This position will be responsible for managing the front desk reception at our corporate headquarters and providing administrative support to all areas of the accounting department.
Receptionist and Administrative Support Essential Functions:
- Answer and direct phone calls in a courteous and professional manner
- Greeting and assisting visitors that come into the office
- Sign for deliveries and schedule package pickups as required
- Sort and distribute incoming mail and emailed A/P invoices
- Maintain petty cash and ensure accurate records are kept
- Assist the accounting department with various tasks, including data entry, record-keeping
- Process A/P invoices by performing 3-way match before entering invoice into the system
- Resolve any invoice or payment discrepancies in a timely manner
- Performing check-off of invoices entered by others to ensure accurate and efficient check run
- Mailing of checks to vendors and filing the related A/P payment documentation
- Other duties as assigned
Requirements:
- High school diploma or GED is required
- Prior experience as a receptionist or in a similar customer service role preferred
- Proficiency in Microsoft Office applications including Outlook, Word, and Excel
- Professional appearance and demeanor
- Flexibility to handle unexpected situations and adapt to changing priorities
- Experience with SAP ERP system is a plus
- Ability to work with sensitive and confidential information in a professional manner
- Excellent verbal and written communication skills
- Strong interpersonal skills to effectively interact with visitors and team members
