Job Description
QUALIFICATIONS:
- Excellent communication skills, both written and oral.
- Ability to read, write and comprehend English; ability to follow oral and written instruction.
- Ability to make independent decisions when circumstances warrants such action and to remain calm during emergency situations.
- Must be knowledgeable of administrative practices, procedures, and guidelines.
- Ability to understand and operate mechanics of a multi-line telephone/paging system.
- Must possess patience and the ability to relate tactfully with personnel, subordinates, residents, family members, visitors and the general public.
- Must possess a working knowledge of word processing systems.
- Preferably a high school graduate or equivalent.
WORKING CONDITIONS: Works in an appropriately lighted and ventilated environment. Subject to pressure from ill, disabled, elderly and at time upset individuals within the facility and their families as well as multiple/emergency calls.
PHYSICAL REQUIREMENTS:
- Must be able to move intermittently throughout the day, proper body mechanics required—bending, stooping, turning, stretching, reaching above the shoulders and occasional lifting are involved.
- Must be able to cope with the mental, emotional and physical stress of the position.
- Must be able to observe, listen and communicate effectively.
- Must function independently, have flexibility, personal integrity, and the ability to work effectively with residents, personnel, support agencies, and outside agencies.
- Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and at times hostile people within the facility.
PRIMARY FUNCTIONS:
- Operates paging/telephone system as required and monitors courtyard via surveillance camera.
- Answers telephone, determines nature of call and relays information within the facility as necessary. Takes messages correctly for personnel who are unavailable or locates personnel through the paging system.
- Receives inquires and releases information in accordance with established policies and procedures.
- Greets and gives directions/information to visitors, guests, residents, sales representative, etc. Ensure that existing rules are followed.
OTHER DUTIES:
- Assists with administrative duties which include typing general business correspondence and various departmental and facility forms, reports and duties as directed by supervisor.
- Updates weekly rosters, making necessary changes (admissions, discharges, bedholds, etc.) collates and distributes to appropriate department heads.
- Distributes employee paychecks.
- Receives newspapers, mail, and flowers for residents. Forwards items as necessary.
- Keeps work area neat and clean, and follows established safety procedures when operating office equipment.
- Reports immediately suspicious persons and unsafe/hazardous conditions to supervisor.
- Creates and maintains an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility.
- Assists with related administrative duties as may be deemed necessary by the Administrator.

- Presents a neat appearance with a pleasant speaking voice and personality. Must be punctual.
- Works with a minimum of supervision.
- Discusses any problems, needs or concerns which arise with the Administrator.
- Attends in-service educational classes and on-the-job training programs as directed.
- Creates and maintains an atmosphere of warmth, personal interest, and a positive image throughout the facility.
- Treats people with respect; works with integrity and ethically; upholds organizational values and mission statement; supports affirmative action and respects diversity.
