Job Description:
As a Receptionist/Office Assistant, you'll play a pivotal role in maintaining the smooth operation of our office. As the first point of contact, you'll handle phone calls, schedule meetings, and provide essential support. With responsibilities ranging from onboarding new hires to managing equipment and supplies, this position offers a dynamic environment for individuals who are detail-oriented, organized, and thrive in multitasking.
Essential Duties & Responsibilities:
- Provides administrative support to ensure efficient operation of office.
- Answers phone calls, schedules meetings and supports visitors.
- Assist with onboarding and setting up new hires.
- Carries out administrative duties such as filing, data entry, copying, binding, scanning etc.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Includes scheduling conference room(s) and all related technology as well as provisions.
- Processes incoming/outgoing mail.
- Management of and entry into various databases as assigned.
- Supports individuals with any projects or events.
- Perform other related duties as assigned.
Requirements:
- High School diploma or equivalent; Associates or Bachelor's degree preferred.
- 1+ years of customer service experience (preferred).
- 1+ years of experience in a support position within a professional office environment (preferred).
Qualifications:
- Proficient in all Microsoft Office applications including Outlook Mail and Office365.
- Excellent follow-up and verbal/written communication skills.
- Friendly and professional demeanor.
- Desire for constant skills improvement.
- Ability to work proactively and autonomously on a daily basis.
- Must be detail-oriented, organized and capable of managing tasks on multiple, concurrent projects.
