We are an HOA management company located in Mesa, AZ looking for an upbeat candidate to fill a position for a full time front desk receptionist. We are a locally owned company that has been in business since 2001. We currently manage 160+ Homeowners Associations in Arizona. Our receptionist plays a key role on our team as they are often the first person our clients speak to on the phone or see when they visit our office. Candidate must aspire to provide excellent customer service.
Job Duties Include:
Answering and routing incoming phone calls.
Answering VMs that are left on the main line.
Retrieve mail from mailbox first thing in the morning.
Checking, stamping, and sorting mail on a daily basis.
Answering our general inquiry email, or routing them to the correct department/person.
Greeting people as they come into our office and helping them. Most often they are dropping off a payment or purchasing a pool key, parking pass, gate remote, etc.
Accepting payments from walk-ins, provide receipts.
Take stock of common office supplies and order them as needed.
Keep the printer full of paper, notify manager when low.
Changing the toner on the printer when needed, notify manager when ink is low.
Post mail as needed. Leave at 4:45 daily to drop mail at the post office.
Mail out correspondence as needed. Daily there will be an assortment of letters to be mailed. The volume differs day to day.
Assist with other office tasks if needed.
Experience:
High school diploma or equivalent.
Experience as a receptionist is preferred.
Experience with homeowners associations is a plus but not required.
Experience with computers is required.
Experience with Microsoft Outlook, Word, Teams is a plus.
We utilize Microsoft Outlook, Microsoft Teams, and TOPS One on a daily basis in our office.
Requirements:
Reliable transportation.
Ability to drop outgoing mail at the post office at the end of the day. Employee leaves at 4:45 to do so.
Ability to multitask.
Ability to prioritize tasks.
Ability to communicate with homeowners, vendors, etc. in a professional and clear manner both verbally and via email.
About our Office:
Our office is open Monday through Friday. Monday through Thursday our office hours are 8:00 AM to 5:00 PM. On Friday we are open 8:00 AM to 12:00 PM; Must adjust schedule to work 40 hours in the week in order to leave at 12:00 PM on Friday.
We observe business attire.

Employee is eligible for paid time off and paid holidays as outlined in the company handbook. The following Holidays are paid: New Years Day, Presidents Day, Memorial Day, Independence Day, Labor Day, Thanksgiving & the following Friday, Christmas Day. Other days or parts of days may be designated as holidays with pay. If a holiday falls on a Sunday, the holiday will be observed on the following Monday. If the holiday falls on a Saturday, the holiday will be observed on the preceding Friday.
Paid vacation time starts at one week per year.
One week paid sick time per year.

Compensation:
$15.00 to $16.00 an hour depending on experience. Higher pay if bilingual.
