This position is located in AAI’s Augusta, Georgia clinic and the receptionist reports in-person for their job duties and responsibilities.

Essential Job Responsibilities - Administrative Assistant
- Report to the Newport, VT clinic on a daily basis as per their assigned schedule
- Open and or close clinic (shift dependent) daily following checklist as assigned
- Complete cleaning tasks as assigned and maintain a clean and organized working space in the clinic
- Maintain the reception area of the clinic, ensuring families and employees are greeted upon arrival and given farewells upon exit
- Maintain confidentiality of all employees, clients, and client families with respect to all information within the database and those who enter in the clinic
- Check company email regularly throughout the day
- Answer the AAI main phone line, takes messages, and routes calls as needed in a timely manner
- Listen to AAI main line voicemail daily, takes messages and distributes to relevant personnel in a timely manner
- Checking AAI on site mailbox and filing daily
- Work with National Director of Clinics to log inventory of administrative and clinic supplies and submit order requests
- Follow all safety and security protocols including health & safety standards for Covid-19
- Provides concierge-level customer service while interacting with clients, and team members over the phone, in person, or via electronic communication.
- Respond to day to day operational requirements in a professional and timely manner.
- Communicate same day schedule revisions with clinical team members and clients
- Maintain client privacy and confidentiality as appropriate, per HIPAA guidelines
- Maintain positive relationships with all current clients, prospective clients, clinical staff, prospective employees, fellow team members and referral sources
- Navigate Google Maps and other mapping applications to ensure appropriate scheduling for technicians and minimize travel time
- Answer the AAI Scheduling phone line, takes detailed messages for future (greater than 24 hours) cancellations and reports to the appropriate staff , notifies necessary parties of same day (within 24 hours) cancellations through email/GChat/call/text

- Must be able to lift up 25 pounds

- Must have manual dexterity to perform specific computer and electronic device functions
- Be willing to physically be present at the assigned job location
- Must be able to receive and give detailed information through oral and written communication
- Must have visual acuity to read and comprehend written communication through computer, electronic devices, and paper means
Minimum Qualifications
- Must be 18 years of age or older
- Authorized to work in the United States
- Reliable transportation and active/valid driver's license and automobile insurance
- Background check is required
- Other certifications:
- CPR and First Aid may apply
- Registered Behavior Technician (RBT) training may apply
- Maintain all up to date attendance at and signage of AAI policies, procedures, and trainings
- H.S. Diploma or equivalent Required
