ESSENTIAL FUNCTIONS:
1. Answer phones in a timely manner with a pleasant demeanor.
2. Greet, receive and direct visitors when they arrive.
3. Receive payment and record receipts for fundraising events ticket sales.
4. Open, sort, and distribute incoming mail and other documents.
5. Type and proofread basic memoranda, reports, letters, charts, graphs and e-mail messages using word processing, spreadsheet and data management applications.
6. Maintain files and records (hard copy and electronic) for projects and correspondence.
7. Provide general administrative and clerical support including data entry, mailing, scanning, faxing, filing and copying.
8. Support Finance Department with processing outgoing invoices, checks, and deposits.
9. Compile data used in preparing reports.
10. Enter information into computer databases, perform searches and run reports.
11. Assist with purchasing, quotes, and account reconciliation.
12. Office supply orders as needed.
13. Maintain and update appointment outlook calendars.
14. Oversee the maintenance of office area and equipment.
15. Support various office staff and departments.
JOB QUALIFICATIONS:
1. Some college or equivalent work experience plus (3) years of high-level receptionist or administrative support experience required.
2. Previous experience working with the elderly preferred.
3. Computer literate, proficient with Microsoft Office (Word, Excel, Power Point, Outlook). Proper grammar, punctuation and accurate typing speed of at least 55 wpm required.
4. Close attention to detail and good organizational skills are paramount and able to work under pressure or deadlines.
5. Good oral and written communication skills.
6. Ability to quickly learn and apply company policies, practices, organizational structure and office procedures.
7. Must pass Level II background screening and drug test prior to hire date.
6. Certificate from physician stating freedom from communicable disease, negative TB test, and ability to perform duties in the program.
