Position Summary
The Receptionist will work with the Office Operations team to ensure that the visitor and employee experience in the Miami office is exceptional. The Receptionist will work with Office Administration, Hospitality and Concierge Services to provide excellent service to all internal and external clients. The Receptionist is a self-starter who takes a proactive approach to improving client service in the office. The Receptionist is an excellent communicator, who reports information regularly and accurately to key stakeholders. The Receptionist cultivates positive working relationships at all levels of the Firm. The position requires a professional demeanor at all times and in all situations.
Duties & Accountabilities
- Greet guests and employees in a warm and courteous manner, in person or on the telephone
- Answer or refer inquires with a focus on hospitality and professionalism
- Establish standardized scripts for all calls and in-person interactions to ensure a consistent professional experience
- Attend to guests' personal belongings such as coats & luggage
- Direct or escort guests and vendors to conference rooms
- Assist guests with accessing the guest Wi-Fi
- Ensure the reception area is always neat and clean
- Provide conference room recommendations and booking assistance as needed
- Coordinate messenger service when needed
- Submit visitor requests and ID badge requests to security desks, the main point of contact for building access
- Learn and retain information involving building policies and practices
- Generate and follow up on building work orders (maintenance requests, freight elevator bookings, etc.)
- Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
- Assist with concierge duties as requested (reservations, car service, catered meeting requests and assistance with travel reservations as needed)
- Provide back-up to the Hospitality team (conference room recommendations and booking assistance, coordination of catering services)
- Provide support for special and ad hoc projects (Executive meetings, departmental projects, time entry, filing, etc.)
- Provide afterhours assistance as event hostess for special events as needed
Qualifications
