Job Title: Receptionist
Job Summary:
As the front line of communication between shareholders, vendors, contractors, and visitors, the Receptionist at Sealaska Corporation holds a key role in creating the first impression of the corporation for shareholders. This position is pivotal in shaping the professional image of Sealaska by providing a welcoming and personable experience. Beyond communication duties, the Receptionist also plays an essential part in day-to-day operations for the Sealaska Plaza, working closely with the contracted property manager to ensure a safe, clean, and comfortable work environment for employees and tenants. Duties/Responsibilities:
• Greet and welcome visitors in a friendly and professional manner.
• Answer and direct incoming phone calls promptly.
• Ensure the reception area is tidy and presentable.
• Provide information to visitors and direct them to the appropriate department or individual.
• Serve as the primary contact for all communications coming to Sealaska via telephone, fax, e-mail, and direct.
• Takes appropriate messages from shareholders for Shareholder Relations Staff.
• Ensure visitors are registered for parking and notify security.
• Coordinate conference room reservations and scheduling.
• Notifies the building manager and the facilities coordinator of situations that require immediate attention, i.e., security breaches, elevator malfunctions, parking, or furnace problems...etc.
• Maintains all Sealaska, employee phone lists, staff position title lists, home phone lists, urban and village corporation lists, intern lists, parking lists and makes updates in a timely manner.
• Sort and distribute incoming emails, faxes, and mail to the relevant departments.
• Assist with general administrative tasks, including data entry, filing, and document preparation.
• Responds to routine shareholder questions as time permits, patches shareholders who have questions requiring lengthy reply to shareholder relations staff.
• Process shareholder verification requests from government and tribal agencies.
• Maintaining office and cleaning supply inventory.
• Enter data/scan into the Shareholder Information System (SIS).
• Assist in preparation, packing, and mailing materials for shareholder outreach.
• Assist in organizing company events and meetings.
• Assist the contracted property manager in day-to-day operations for the Sealaska Plaza by ensuring a safe, clean, and comfortable work environment for employees and tenants.
• Coordinate travel/lodging/rental cars for staff as requested.
• Other duties as assigned
Required Skills/Abilities:
• Good telephone etiquette and the ability to deal with all types of callers and visitors in a professional manner.
• Ability to prioritize work, to be self-motivated, and to work under pressure.
• Ability to deal with highly sensitive information and maintain confidentiality.
• Ability to operate Polycom phone system, computers, and other standard office equipment.
• Knowledge and ability to organize and maintain paper and electronic computer files.
• Excellent computer skills and deep knowledge of Microsoft Office Suite.
• Must have good organizational skills.
• Must be accurate, detailed and thorough, with good communication and writing skills.
• Ability to work as part of a team.
Education and Experience:
• High School diploma and/or a minimum of one year experience in a telephone service and/or customer service position.
