- Answers and routes phone calls to appropriate staff members.
- Schedules appointments.
- Documents reason for the appointment.
- Acknowledges patients and family promptly and courteously upon arrival for appointment.
- Checks in / arrive patients in a timely manner.
- Updates provider of record / preferred PCP
- Preregisters new patients and updates demographics and insurance on established patients.
- Verifies insurance and financial responsibility.
- Updates preferred pharmacy.
- Updates email address and registers guardian for portal access.
- Receives and scans patient forms and records in EHR.
- Documents special language and communications needs, e.g. sign or language interpreter needed.
- Makes arrangements for an interpreter in advance of appointment if needed.
- Reviews and acts on any Care Coordination alerts/pop-up messages in EHR, e.g. special pre-visit screening that needs completing.
- Instruct patient/family on forms completion.
- Collects copay and prior balance and/or makes payment arrangements.
- Assists families with straightforward billing questions.
- Confirms appointments for the next day.
- prepares daily reports and deposit slips.
- Monitors reception room and keeps patients informed of delays
- Tidies up reception room throughout the day
- Adheres to safety, infection control, environmental and patient confidentiality policies
- Processes medical record releases requested by parents/family.
- Prints chart documentation requested by parent/family.
- Processes return to/absence from school forms.
- Performs other duties as assigned.

- Strong phone, spelling and grammar, computer and keyboarding skills.
- Maintains professional appearance and neat work habits.
- Participates in ongoing skills development.
ESSENTIAL FUNCTIONS:
- Ability to work at a computer terminal for extended periods of time on a daily basis.
- Physical requirements for this position include: hearing, seeing, speaking, feeling, reaching, pinching, bending, stooping, standing, sitting, walking, computer keyboarding, 10-key, phone operation, and repetitive motions.
- This position requires sitting for long periods of time. Walking and/or standing is required routinely.
- This position requires exerting up to 25 pounds of force in order to lift, carry, pull, or move objects.
QUALIFICATIONS:
- Education: Minimum high school diploma or equivalent.
- Experience: 1-2 years experience in the medical or customer service field preferred.
