Job Overview:
As a Receptionist, you will be the first point of contact for clients, visitors, and callers at our organization. Your primary responsibilities will include managing the front desk, handling incoming calls, providing administrative support, and ensuring a professional and welcoming atmosphere for clients and staff. This position requires someone who reads, writes and speaks fluently in both English and Spanish.
Key Responsibilities:
1. Front Desk Management:
- Greet and welcome clients, visitors, and staff courteously and professionally.
- Manage the reception area, ensuring it is neat and organized.
- Direct clients and visitors to the appropriate meeting rooms or personnel.
2. Daily Phone Management:
- Answer and screen incoming calls, directing them to the appropriate person or department.
- Take and relay accurate messages when necessary.
- Handle general inquiries and provide information about the firm's services.
3. Administrative Support:
- Assist in scheduling appointments and managing conference room bookings.
- Receive and distribute mail and packages.
- Maintain and update contact lists and directories. o Perform administrative tasks for management.
4. Client Interaction:
- Maintain a positive and professional attitude when dealing with clients.
- Ensure clients feel welcome and comfortable during their visits.
5. Collaboration:
- Coordinate with legal staff to ensure seamless communication.
- Assist with administrative tasks as requested by attorneys or legal assistants.
6. Technology Management:
- Utilize office software and technology for tasks such as managing appointments, maintaining records, and handling emails.
7. Confidentiality:
- Handle sensitive information with discretion and maintain client confidentiality.
Qualifications:
- Previous experience in a receptionist or administrative role, preferably in a legal setting.
- Strong communication and interpersonal skills.
- Excellent organizational abilities and attention to detail.
- Proficiency in using office equipment and computer software (Microsoft Office, email systems, etc.).
- Knowledge of legal terminology and procedures is a plus.
- Professional appearance and demeanor.
Education:
- High school diploma or equivalent. Additional certification or coursework in office administration is beneficial.
