JOB SUMMARY
The Purchasing Agent is responsible for collaborating with vendors, negotiating terms, and securing timely deliveries of materials and services. You will assist in cost analysis, contribute to budget management, and maintain accurate records of purchase-related documents. With a focus on quality assurance and compliance, you will work closely with internal teams and external partners to ensure the success of residential projects. Your attention to detail, strong communication skills, and ability to work independently within a collaborative environment will contribute to the overall efficiency and effectiveness of our purchasing function.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Collaborate with vendors for quotes, negotiations, and timely deliveries.
- Maintain strong supplier relationships for competitive pricing and quality materials.
- Prepare and process accurate purchase orders promptly.
- Track purchase order status with the Purchasing Manager for on-time deliveries.
- Analyze material and service costs using relevant software, aligning with budget constraints.
- Contribute to budget development and maintenance for direct costs.
- Organize purchase-related documents, including contracts, quotes, and purchase orders using specific software.
- Keep updated information on suppliers and subcontractors.
- Work closely with teams using IBSWIN, BuildPro, and SupplyPro to understand project requirements and timelines.
- Communicate effectively with stakeholders and external partners regarding purchasing inquiries.
- Ensure purchased materials meet quality standards and comply with regulations.
- Address compliance issues related to purchases.
- Identify opportunities for process improvement and implement best practices.
- Efficiently handle Early Work Authorization (EWA) processing and update trackers.
- Distribute contracts, set up OCIP, research closing reports, update budgets, approve invoices, and administer system setups for users, vendors, and communities.
- Perform all other related duties as assigned.
KEY JOB REQUIREMENTS
- Bachelor's degree in Business, Supply Chain Management, or related field preferred.
- Previous experience in purchasing or procurement, preferably in residential construction.
- Strong negotiation and communication skills.
- Familiarity with construction materials, industry trends, and suppliers.
- Detail-oriented with excellent organizational and time management skills.
- Proficiency in Microsoft Office, particularly Excel.
- Ability to work collaboratively in a team environment.
- Self-motivated and able to work independently.
- Knowledge of purchasing software/tools is a plus.
