Purpose:

As an Administrative Assistant/Customer Service Rep, you will contribute to this goal by assisting in all activities related to daily operations through your active engagement with new and existing customers to drive company growth with your ninja organizational skills and attention to detail. You will work to deliver a consistently outstanding WOW experience through all interactions with our organization!

Candidates with many backgrounds have been successful in this role - from realtor assistants, office managers, administrative assistants, mortgage professionals, dispatch, operations managers. Essential Duties & Responsibilities:

  • Answer calls and online customer requests, and provide one-call resolution to customers regarding schedule changes, service requests and special handling.
  • Close office daily, welcoming cleaning teams back at the end of their shift and addressing any end of day needs.
  • Data entry of daily operational and payroll information into operations system.
  • Manage bookkeeping responsibilities to collect payment from clients and manage account receivables.
  • Participate in daily communication with Operations and Field Managers to share customer information and discuss operational opportunities.
  • Assist as part of our in-office team with miscellaneous tasks such as laundry and supply inventory.
  • Drive growth by achieving client conversion goals for creating recurring clients. Opportunity to grow into sales as well.
  • Work to build strong long-term relationships with clients with service that goes above & beyond.

Qualifications:

  • Strong attention to detail and the ability organize, prioritize, and multitask effectively.
  • Ability to maintain composure and be resilient/adaptable even in very difficult situations.

  • Outstanding communication skills – demonstrated abilities by phone, e-mail, and face to face. Effective listening capability and awareness to verbal and nonverbal cues.
  • Commitment to strong customer service culture.

Desired Skills & Experience:

  • High School Diploma required, bachelors’ degree is a plus.
  • 2 years of work related experience (realtor, administrative assistant, operations management, receptionist).
  • Data input accuracy or experience with light bookkeeping or attention to detail regarding invoicing and administration experience.
  • Previous customer service experience required, service business preferred, and demonstrated ability to handle client interactions.
  • Computer literate with the ability to operate office equipment, word processing, spreadsheets, and modern messaging technology in a work context, as well as basic math skills.
  • Thinking and speaking on your feet or demonstrated ability to come up with unique solutions to challenging problems.
  • Ability to combine pieces of information to form conclusions (including finding a relationship among seemingly unrelated events).
  • Bilingual in Spanish is a plus but not required

Job Type: Part-time

Pay: $22.00 - $27.00 per hour

Expected hours: 28 – 34 per week
