The PT Administrative Assistant performs a full range of both clerical and administrative support functions including performing responsible, confidential, and complex clerical work, processing purchase orders and credit card statements and has considerable opportunity to improve methods and make decisions related to work methods, including planning and organizing work assignments. The position has inside and outside contacts at all organizational levels and requires considerable tact and discretion representing strong customer service abilities.
The work schedule for this position is 8:00 a.m. - 1:00 p.m. (Monday-Friday)
A DAY IN THE LIFE:
- May act as a receptionist responding to inquiries, answering the telephone and waiting on general public, City employees, and officials. Provides routine and general information on departmental and City policies, procedures, regulations, systems, and precedents as required. Receives, sorts, and distributes incoming and outgoing correspondences.
- Types and proofreads a wide variety of reports, letters, memos and statistical charts; independently or from instruction, composes correspondences as assigned; Processes permits, applications, and other departmental items.
- Establishes, organizes and maintains filing systems which may include record keeping for various funds and expenditures; inventory records, facility rental agreements, and other department and program files; maintains general, legal, technical, and confidential files; prepares and processes standard purchasing invoices for payment.
- Maintains online building rental program, calendars and schedules of activities, meetings and various events; sets up meetings and appointments; coordinates activities with other City Departments, the public and outside agencies; coordinates travel arrangements; production and distribution of agenda packets; and ensures that meeting facilities are prepared.
- Attends meetings, take minutes and transcribe as necessary; prepares and types final minutes of meetings for records.
- Researches, compiles and analyzes data for special projects; collects and assembles data and background materials for a variety of reports and grant applications;
- Orders and maintains departmental supplies and equipment; maintains inventory controls;
- Schedules appointments; assists with department supervisors calendars;
- Performs miscellaneous and general office duties as needed.
WHAT YOU'LL NEED FOR SUCCESS:
Education: High School diploma or GED equivalent is required.
Experience: Two or more years of secretarial experience required. Employee is expected to have acquired the necessary information and skills to perform the job reasonably well within six months to one year of employment.
Certifications/License: Must possess a valid Kansas driver's license.
