Job description
The Property Manager will be responsible for all phases of operations for a combination member & renter-occupied housing cooperative. including but not limited to: the general administration and maintenance of the property; to direct and control all personnel and resources, to ensure that the property is maintained in good physical condition, at all times, with a stabilized fiscal operation. This position requires availability to be on-call and will require evening hours & weekends.
The Property Manager is a leader in business, sales & customer service; whoseduties and responsibilities include, but are not limited to:
Employee Management
- Responsible for training, coaching, and development of the work performed by all staff members under his/her supervision.
- All aspects of the employment process for on-site employees, in accordance with the company’s policy and the direction of his/her supervisor.
- Display the customer service values and integrity you ask your team to demonstrate every day.
- Perform written evaluations of employees and make recommendations for salary increases and/or advancement.
- Maintain accurate payroll records as required by the company.
- Adhere to all company personnel directives as per the employee handbook
Resident Management & Marketing / Leasing
- Ensure that residents are provided with a clean, safe, well-maintained community.
- Work with renters and members to ensure optimal customer service & resident satisfaction.
- Oversee all aspects of the leasing department
- Attract residents by advertising vacancies, obtaining referrals from current residents, explaining the advantages of location and services, and showing units.
- Prepare, process, and sign all leases and related forms.
- Handle all details of move-ins and move-outs, giving special attention to apartment inspection check-ins and checkouts.
Financial Management
- Work within the established budget and notify his/her supervisor of any possible variation.
- Maintain necessary records of all financial transactions of the property.
- Adhere to all appropriate company accounting directives including, but not limited to:
- Use of account numbers
- Daily income requirements
- Expense requirements
- Accounts payable processing
- Maintain rent roll, summary, and recap.
- Prepare and present weekly, monthly, and quarterly reports.
- Processing of monthly HAP vouchers, as applicable
- Make bank deposits daily.
- Collect and handle delinquent & prior resident collection accounts.
Administrative Management
- Work in conjunction with, advise and report on property status to the cooperative’s Board of Directors, applicable committees, and membership.
- Attend all meetings of the Board or Directors and committees.
- Oversee member stock ownership transfer & sales process
- Purchase necessary office supplies in accordance with company policy.
- Report accidents and emergency situations to the main office immediately and prepare the proper reports.
- Seek professional guidance from legal counsel pertaining to resident issues.
Maintenance Management
- Ensure that all maintenance requests are handled on an immediate on-call basis, if possible, and that residents are notified if parts must be ordered, causing a delay.
- Continually inspect property and improvements, recording deficiencies and taking the necessary action within budgetary limitations/allocations.
- Administer preventative and capital improvement programs.
- Adhere to all maintenance and purchasing directives as per company policy and procedures, including, but not limited to:
- Property inspections
- Maintenance work orders
- Landscaping and grounds
- Safety
- Special maintenance items
- Inventory control
- Establish schedules and assign personnel for routine maintenance and emergency coverage.
- Supervise outside contractors working on the property.
Qualifications
Accredited Resident Manager, or similar designation, college education, or a minimum of 7 years experience in property management or related field.
Minimum 5 years of experience working with market-rate rental and member-occupied housing cooperatives.
Superior interpersonal, coaching, and customer service skills.
Knowledge of applicable local and federal laws & regulations
Knowledge of accounting procedures, financial administration, and reporting.
Proficient computer skills, Microsoft Office – word and excel, email. Knowledge of Yardi Voyager preferred.
