The Property Manager is responsible for managing all aspects of a mobile home park or manufactured housing community. This includes overseeing operations, managing tenant relations, working directly with the onsite maintenance team, and ensuring compliance with applicable laws and regulations. The manager should strive to create a positive living experience for residents while maximizing the park's profitability. They are focused on building better communities which increases the occupancy and creates a sense of belonging.
Responsibilities include but are not limited to the following:
Property Operations:
Conduct regular inspections of the mobile home parks to ensure they are well-maintained and meet safety standards.
Handle tenant inquiries, complaints, and requests promptly and professionally.
Oversee and enforce park rules and regulations, ensuring all residents adhere to them.
Coordinate with maintenance staff or contractors for repairs and maintenance tasks.
Manage rent collection and ensure timely payment from tenants.
Assist in the preparation and execution of lease agreements or rental contracts.
Tenant Relations:
Establish positive relationships with tenants, fostering a sense of community within the mobile home parks.
Address tenant concerns, mediate disputes, and resolve conflicts as they arise.
Organize community events or initiatives to encourage tenant engagement and participation.
Provide resources and support to tenants, such as information on local services or amenities.
Financial Management:
Prepare and manage budgets for each mobile home park, including income and expense forecasting.
Monitor and track financial performance, ensuring expenses are within budgetary constraints.
Prepare monthly financial reports for the property owners or management company.
Manage accounts payable and receivable, including rent collection, late fees, and delinquencies.
Collaborate with the accounting team to ensure accurate record-keeping and financial compliance.
Marketing and Leasing:
Develop and implement marketing strategies to attract new tenants and maintain high occupancy rates.
Advertise available units or vacant lots through various channels, including online listings, signage, or local publications.
Conduct property showings and provide prospective tenants with necessary information about the mobile home parks.
Screen and select qualified tenants, conducting background checks and verifying references.
Assist in the preparation and signing of lease agreements or rental contracts.
Manage social media and online listings to analyze, report, and respond to customer feedback.
Post 2x per week on Facebook to achieve set goals for community while building community engagement.
Compliance and Legal:
Stay updated on local, state, and federal laws and regulations related to mobile home park management.
Ensure compliance with fair housing laws and other applicable regulations.
Coordinate with legal counsel or property owners in handling legal issues, evictions, or disputes.
Maintain proper documentation and records related to property management activities.
Prepare and submit required reports to regulatory agencies or governing bodies.
General Tasks and Responsibilities
Respond to team members about project updates or overall questions by the end of the workday via email, Slack, or project management tool(s).
Set expectations and provide the team with updated deadlines within project management software(s).
Act as the customer service point and spokesperson for all online reviews, responding timely to customer and third-party concerns. Ensure 100% replies on all feedback platforms such as Google, Facebook, Apple Maps, Yelp, and other assigned platforms.
Pull monthly, quarterly and annual reports to track success, room for improvement, and better understand community needs (also used as a tool for sales purposes).
Collaborate with the MH Community Director, Sales Manager, and Chief Operating Officer to improve processes for leads, existing tenants, and handoffs.
Attend and be prepared for daily, weekly, monthly and quarterly meetings with MH Community Director, Sales Manager, and Chief Operating Officer.
Understand various softwares to provide the best service, heighten communication, and track community success.
Research and understand the manufactured home and real estate industry to generate new ideas for the company's growth.
Attend 30-40 hours annually of in-person or online courses for personal and professional development.
Understand state laws based on the states your communities live in to provide concrete guidance and decisions
Overall Team Responsibilities
Update scheduling and HR tools when time off has been accepted and be present during work hours.
Attend team meetings to discuss projects, concerns, wins, and team needs.
Respond to team members promptly.
Respond to tenants via email, video, text messages, and calls as soon as possible.
Update project management tools once projects progress to the next stage.
Track time for each project to justify prices and deadlines.
Be respectful of everyone's time by attending meetings on time or notifying team members in advance if rescheduling is necessary.
Attend quarterly meetings to review performance and improvements.
Abide by the project organization protocols.
Continuously improve skills and knowledge through various courses and bring new insights to the team.
Express opinions and solutions to improve the company.
Maintain a safe work environment and follow health and safety protocols.
Follow workplace rules and maintain a clean environment.
Uphold the highest standards of internal and external customer service.
Build and manage strong working relationships with other Community Managers and various internal departments.
