POSITION SUMMARY
HR Consulting Solutions LLC is a national executive search firm that has been retained by Inspired Technologies to conduct a search for a full time Project Coordinator/Scheduler. This position is located in Western Kentucky. The essential job function of this role is to manage the planning, scheduling, and logistical objectives of Inspired Technologies. The incumbent will serve as the liaison between the company’s Lead Technicians, Account Managers, and Project Managers. This position is responsible for scheduling and assigning the appropriate personnel to the appropriate projects in the appropriate locations. The Project Coordinator and Scheduler will champion all aspects of business travel and will strive to increase efficiency throughout Inspired Technologies. This is a full-time position working 40+ hours per week, Monday through Friday.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Collaborate with Management to develop project schedules, assigning the right person to the right job.
- Monitor adherence to project schedules, adjusting as needed.
- Obtain time-sensitive information from key team members related to the execution of projects, logistics coordination, changes in scope, schedule impacts, etc.
- Update and report the status of projects to appropriate Management personnel using scheduling software and supplementary reporting tools.
- Serve as the primary point of contact for all travel-related inquiries and issues, providing prompt and courteous service.
- Review travel requests to determine appropriateness and efficiency, ensuring compliance with company policies and procedures.
- Plan & book transportation, lodging accommodations, and other travel services needed.
- Coordinate with employees to determine their needs and ensure all travel arrangements are made correctly.
- Negotiate rates when possible and stay within budget.
- Monitor and facilitate the use of company credit cards, frequent flyer miles, and other applicable reward and loyalty programs.
- Provide administrative support on travel-related items such as approving travel reimbursements, maintaining files, and updating records.
- Perform other related duties as required or requested by Management.
MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES
- Previous experience in scheduling and logistics is preferred.
- Proficient with computers and has hands-on experience using MS Excel and Word.
- Recent use of and expertise in project scheduling software.
- Experience in travel coordination or related field.
- Exceptional organizational skills and attention to detail.
- Ability to juggle multiple projects simultaneously.
- After-hours availability for employee assistance and issue resolution.
- Outstanding interpersonal communication.
- Capable of interacting and communicating with professionalism, clarity, and accuracy.
- Strong ability to work independently and with a team to meet deadlines.
- Keen negotiation skills.
- Fluency in English; multilingualism is a plus.
MINIMUM EDUCATION, LICENSES, CERTIFICATIONS, AND TRAINING
- High School or equivalent.
- Bachelor’s degree in business administration or another relevant field preferred.
EMPLOYMENT ELIGIBILITY
- Must be authorized to work in the United States and provide verification of employment eligibility to work in the U.S.
- Active and valid driver’s license.
- Able to pass a pre-employment drug screen and criminal background check.
